Extend a Job Offer

You extend a job offer when you want to communicate the offer to the candidate.

As soon as the job offer is approved, it might get communicated to the candidate automatically if the requisition is configured to automatically extend offers. This can occur immediately or after a specific number of hours after the offer reached the Offer - Approved status. If this doesn't happen automatically or if you want to extend the offer sooner, use the Extend Offer action. You can use the Extend Offer action for any job application in the Offer - Approved status. You need the privilege Communicate Job Offer (IRC_COMMUNICATE_JOB_OFFER_PRIV).

When you extend a job offer using the Extend Offer action, two areas are verified before moving the candidate forward into the Offer - Extended status:

  • If there are still openings in the requisition. This check prevents extending more job offers than the number of available openings. A requisition is considered to have available openings if the number of current openings is greater than the number of hired candidates combined with the number of candidates with an extended or accepted job offer. Extending the offer can still be successful even for a requisition that's filled or overfilled, if you have the privilege Communicate Job Offer Ignoring the Requisition Number of Openings (IRC_COMMUNICATE_JOB_OFFER_IGNORING_NUMBER_OF_OPENINGS).

  • If the offer is based on a position, whether there are still open headcounts and vacant FTE in the position as of the offer's intended start date. This check might show you a warning or you might be unable to extend the offer, depending on how strictly this area is configured. After the Extend Offer action is underway, a banner shown on the job application's Details and Offer tabs says that the offer is being extended. After the extend action is successful and any candidate notification has been sent, the banner is no longer there and the job application status is Offer - Extended.

In rare cases when the banner no longer appears but the status remains Offer - Approved, you can check the Errors section on the job application's Offer tab to find out if anything is preventing the offer from being extended. For example, it's possible that the offer letter couldn't be generated from the Content Library's template, and this error would be explained in the Errors section. After you resolved any error, you can use the menu action Extend offer once again.

When a job offer is successfully extended, the candidate receives the following email or SMS informing them of the new offer and inviting them to view their offer letter and give their response.

  • Job Offer Extended External Notification: External candidates click the link in the invitation, which sends them a new message containing a 6-digit verification code. This allows external candidates to access the web page displaying their job offer.

  • Job Offer Extended Internal Notification: Internal candidates click the link in the invitation, or click the link in the worklist notification (Bell icon) which also notifies them of their offer. They can also visit the Current Jobs work area to see their offers (Navigator > Me > Current Jobs > Job Offers).

From the extended offer page, both external and internal candidates can print the job offer, open any attachments, view any media, and respond to the offer.

If the external or internal candidate needs another copy of the invitation to reach the job offer, perhaps because they deleted or misplaced it, use the Resend Offer action. The Job Offer Reextended External Notification and Job Offer Reextended Internal Notification are used. The message is exactly the same as the email or SMS sent to the candidate the first time the job offer was extended. You can use this action as many times as needed when the job offer is in the Extended state.

Note: The requisition's candidate selection process can be configured to bypass extending any offers to candidates. In this case, you won't see any Extend Offer action on any job applications in the Offer - Approved status, even if you have the privilege Communicate Job Offer (IRC_COMMUNICATE_JOB_OFFER_PRIV).
