About Work Requests

Work Requests are used to request various types of work or services to be performed.

Work requests can be indirectly linked to a new activity when the activity adds a work order that is linked to a work request. Work requests can be created manually, as a follow-up to an activity, or by an external system. Work requests are mainly used to implement an approval chain for the requested work.

When a work request is created it is reviewed to determine if the request is valid and can be turned into a work order. If the work request is rejected or canceled the work requestor is notified and the work request can be resubmitted. If the work request is approved, the planner can either add the request to an existing work order as a new activity or create a new work order and work activity specifically for the work being requested.

Once approved, users can select Create Work Order and select the appropriate work order business object and the associated activity type to automatically create both the work order and the first work activity which is then populated with information linked to and obtained from the work request. Cost Center details and at least one of the following is required to create the work order and work activity:

  • Asset Location
  • Work Location
  • Asset

The system retrieves the cost center information, if populated, from the following:

  • Asset location specified on the work request
  • Template work order
  • If not populated, the work activity is rendered and cost center information can be entered directly

If necessary, it is possible to create a work order directly if you have the proper authorization.

Possible Duplicate SC/WR/WO/Activity

The system identifies any records which could possibly be duplicate service calls, work requests, work orders, or activities in this zone. Any work records that are in “non-final” statuses (such as created, pending approval, approved, active, in progress, or finished) with the same asset and location (including address) of the current work request are listed as duplicates. You can choose to include or exclude work records related to preventive maintenance. If a record is found to be a duplicate, the work request can be canceled under Record Actions.
