Creating a File Security Configuration
Introduction
File Security in Communication Cloud Service enables you to create password-protected PDFs, providing an additional layer of defense against unauthorized access and helping to ensure that confidential data remains protected. You can create different types of encryption as security type, such as Password Based and PGP. File Security converts PDF contents into an unreadable format that can only be accessed by authorized users with decryption keys or passwords.
Prerequisites
Following are the prerequisites to consider before creating a File Security configuration in Communication Cloud Service:
Note:
Ensure that you complete the prerequisites before proceeding.| Prerequisites | Details |
|---|---|
| Set the Config ID |
Config ID must be Active.
Ensure all dependent configurations and associations are part of the same open Config ID. See Creating Config ID. |
| Create Entitlements | Ensure that you have the required entitlements to create a File Security.
|
| Create Operation Company configuration | Ensure that you have created the Operation Company configuration that needs to be associated to the File Security. See Creating Operations Company for more information. |
Steps involved in creating a File Security Configuration
- Creating a File Security Configuration
- Creating a File Security Version
Creating a File Security Configuration
- Access the Oracle Financial Services Cloud application.
- From Menu, select Configuration.
- Under Configuration, select File Security. This redirects you to the File Security landing page
- On the File Security landing page, select Create.
- In Basic Information section, enter the Name, Long Name and Description (optional), to identify the File Security.
- In Operations Company section, select Add Operations Company and select the Operations Company that you want to associate to the File Security.
- In Status section, Active Date is set to the current date when the File Security is created. You can change it to a future date if required.
- Select Continue to create File Security Version.
Creating a File Security Version
Versions allow for the creation of multiple iterations of a File Security. Active Date helps control when each version of the File Security becomes effective. While a File Security can have several versions, at least one version must be created for a File Security configuration.
- On the Create File Security Version page, in Basic Information section, enter the Name, Long Name and Description (optional), to identify the File Security Version.
- In File Security Properties section, select Security Type to specify the data security policy type. Depending on the selected Security Type, the rest of the fields are enabled for selection:
- Password Type specifies the type of password. Select Static to use secure store parameter value set in the secure store or vault as the encryption key. Or select Dynamic if the encryption key (or password) is based on the transaction data.
- Symmetric Encryption Type defines the type of symmetric algorithm using a single key, typically used for hybrid encryption types like PGP, and indicates the method for encrypting files or data, such as AES.
- Asymmetric Encryption Type specifies the type of asymmetric algorithm that uses a key pair, typically used for hybrid encryption types like PGP, and denotes the encryption method used to encrypt the symmetric key with the recipient's public key, such as RSA.
- PDF Permissions defines the operations allowed when the user access the PDF.
- Select Save to save the details and proceed to create the Oracle Vault Properties, or select Save & Exit to save the details and return to the landing page.
Once you select Save, the Oracle Vault Properties section is displayed.
- In Oracle Vault Properties section, select Add Oracle Vault Properties. This redirects you to PDF File Security page.
- On the PDF File Security page, follow these steps:
- In File Security Properties section, enter Static Password and re-enter the password in Confirm Static Password field.
- Under Receiver Public Key, you can either enter the public key value or select Paste Receiver Public Key to paste the receiver public key.
- Select Create.
The Oracle Vault Properties are automatically saved.
Maintaining a File Security Configuration
Introduction
You can update or delete File Security configuration to cater to the changing business needs.
You can add multiple versions to a File Security configuration. This can be done by either adding a sibling to the File Security configuration or duplicating the existing Version to create a new Version. You also have the option to delete the File Security configuration that you no longer require, if the Config ID is open.
If the initial Config ID used for creating File Security configuration is closed, and if you want to edit the configuration, see Editing a Configuration after Closing the Config ID.
You can update the following information:
- Editing a File Security Configuration: Update the basic information of the File Security configuration and Active Date or replace the Operations Company if the Config ID is open.
- Editing a File Security Version: Update the basic information of the Version, File Security Properties, Active Date, and update or delete Oracle Vault Properties. You can also create new Version, or duplicate an existing Version.
- Deleting a File Security Version: Delete a Version that you are no longer using, if the Config ID is open.
- Deleting a File Security Configuration: Delete a File Security configuration that you are no longer using, if the Config ID is open.
Editing a File Security Configuration
You can edit the basic information and Active Date of a File Security configuration. You can also replace the Operations Company.
Perform the following steps:
- Access the Oracle Financial Services Cloud application.
- From Menu, select Configuration.
- Under Configuration, select File Security. This redirects you to the File Security landing page.
- To edit the File Security configuration, follow either one of these options from the File Security landing page:
- From More Menu in Action column of the File Security configuration, select Edit.
- From Name column, select the required File Security configuration name to view its Summary page. Then from Summary page, select Edit.
This redirects you to the Update File Security page.
- On Update File Security, modify the information as required.
- To replace the Operations Company, under Operations Company section, from More Menu in Action column, select Replace. Select a different Operations Company belonging to the same Config ID.
- Select Save to save the changes, or Save & Exit to save the details and return to the landing page.
