Account - Auto Pay

The Auto Pay page is used when an account pays their bills automatically (e.g., by direct debit or credit card).

Open Customer Management, Account and navigate to the Auto Pay tab to maintain this information.

Description of Page

Defer Auto Pay Date - Used to specify the date after which automatic payments can be created for the account. The system will hold the automatic payment process for the account till the specified duration. It will allow to create automatic payments for the debit bills through a batch process only after the specified date.

Auto Pay Review Required - Used to indicate whether the direct debit (i.e., automatic payment) for the account’s bills is on hold until confirmation is received from the customer.
Note: On completing a bill for an account, the system creates the automatic payment records in the CI_​BILL_​ACH table as per the auto pay instructions defined for the account. If the Auto Pay Review Required option is selected, the system sets the EXTRACT_​ELIG_​SW column corresponding to the automatic payment records in the CI_​BILL_​ACH table to N. However, if the Auto Pay Review Required option is not selected, the system sets the EXTRACT_​ELIG_​SW column corresponding to the automatic payment records in the CI_​BILL_​ACH table to Y. The EXTRACT_​ELIG_​SW column indicates whether the automatic payment record is eligible for the extraction. If the EXTRACT_​ELIG_​SW column is set to N, the APAYCRET batch does not consider the automatic payment record in the CI_​BILL_​ACH table for automatic payment creation.

Rule Based Auto Pay - Used to indicate whether you want to define the rule based auto pay instructions for the account.

The Account Auto Pay scroll defines the bank account / credit card from which the customer's automatic payments are debited. Multiple auto-pay options may exist if the customer changes auto-pay options over time.
Note: Installation Option Algorithm for autopay amount calculation should be set to APAM-SETT (CIPPKDSX).
Auto Pay Usage - Used to indicate whether the auto pay option is available for automatic credit, automatic debit, or for both automatic credit and debit. The valid values are:
  • Credit - Used to indicate that the auto pay option is only available for automatic refunds.

  • Credit and Debit - Used to indicate that the auto pay option is available for both automatic refunds and automatic payments.

  • Debit - Used to indicate that the auto pay option is only available for automatic payments.

Note:

If you select the Credit option from the Auto Pay Usage list, the following fields are removed from the Account Auto Pay section:

  • Auto Pay Method

  • Maximum Withdrawal Amount

  • Percentage

You can define multiple auto pay options for an account with the same priority but with different auto pay usage. In other words, multiple auto pay options for an account with the same auto pay usage cannot have the same priority.

The following fields display:

  • Start Date is the date on which the automatic payment information comes into affect. The system creates an automatic payment for any bill produced for this account with a due date on/after this date and on/before the End Date. If End Date is not specified, this means the automatic payment option applies indefinitely. You need only specify an End Date if the customer wants to stop paying automatically.
  • Auto Pay ID is the unique identifier of the auto-pay record.
  • Percentage is the contribution of payment amount in percentage from the auto pay source (i.e., bank account) when the Split Automatic Payment feature is used. It is used to split the automatic payment in percentage between two or more automatic payment options. For more information, see How To Split Automatic Payment.
    Note: If you do not want to split the automatic payment, you need not specify any value in the Percentage field. The system will automatically update it to 100% on saving the automatic payment option.
  • Priority indicates the order in which the system should consider the automatic payment option when multiple automatic payment options are defined for the same date range.
  • Use Auto Pay Source Code to define the source of the funds used to satisfy the automatic payment request. For example, if a customer indicates that they want to use their checking account to pay their bill, you would specify the Auto Pay Source Code associated with their bank. The source's description and external source ID (e.g., bank routing number) are displayed adjacent.
  • Use Auto Pay Method to specify whether you want the system to process automatic payments as Direct Debit or Payment Advice. This field is visible only if feature configuration is set up to support payment advice functionality. Refer to Payment Advices for more information on the payment advice functionality.
  • Use Auto Pay Route Type to control when and how automatic payment requests of the account are routed to a financial institution. It also controls when the general ledger is impacted by the automatic payment financial transaction.

  • Use Account Number to define the customer's bank account / credit card number.
  • You will be required to define an Expires On date if the Auto Pay Source Code references a tender type that requires an expiration date (e.g., if the Auto Pay Source is a credit card company).
  • Enter the Name of the customer as it appears in the financial institution's system. This name is routed to the financial institution.
Note: The Name will default to the primary name of the main customer linked to the account after you enter a Start Date. This defaulting is only possible for accounts that exist on the database.
  • In some locales, customers can define a Maximum Withdrawal Amount to limit the amount of money that is automatically debited from their account. Refer to How To Implement Maximum Withdrawal Limits for more information.
  • Use Comments to describe anything interesting / unusual about the automatic payment request.
