Add multiple participants

Participants provide daily updates. Location administrators or location staff users can also book medical appointments or tests for participants. To request the participation of multiple participants at once, add their account information to a CSV file and then upload the file to the system.

After you upload the file, you can send invitations immediately or later. If you do not send them right away, the system typically sends the invitations during the overnight or morning hours for the U.S. Eastern time zone. Talk to your Oracle Customer Success manager to request a time.

If a caregiver provides daily updates for a participant, such as for a participant under the age of 18, you can associate the caregiver with the participant in the CSV file or after you upload the file.

Note:

The link in the invitation expires after 36 hours. Make sure the invitation arrives at a time when recipients are likely to check their messages. For example, don't invite people using their work email addresses on a Friday afternoon if they won't check their messages until Monday morning.

To add multiple participants at once:

  1. Along the top, select the Participants tab.
  2. Select Load Participants.
  3. Optional: To learn about the requirements for the CSV file, perform one or both of the following steps:
    • To learn about the columns that you can and must include in the CSV file, click CSV Format toward the bottom of the page.
    • To see a sample file that uses the correct format, click Download Sample.
  4. Build the CSV file according to the guidelines. If you work in the sample file, make sure you remember to remove the rows with placeholder data.
    The CSV file can be as large as you want. You don't need to create separate files for each of your entities, but make sure you specify each participant's entity correctly.

    Note:

    To prevent emails from being sent to a recipient's spam folder, make sure you use the correct email address.
  5. After building the CSV file, perform one of the following steps:
    • Drag the file to the drag and drop area.
    • Click Choose file, browse to the file, and double-click the file.
    Oracle COVID-19 Patient Monitoring System processes and uploads the file. If the file contains a large number of entities, this step could take a little while.

    After the file passes the validation review, the Review Participants to Load page appears.

    If the file doesn't meet the upload requirements, a list of issues appears for your review. You must correct any errors before you can continue with the upload.

  6. At the bottom of the list of participants, select Load x Participants, where x is the number of participants that you're loading.

    Note:

    If you added a large number of participants, this can take several minutes.
  7. Choose one of the following:
    • To send invitations right away, select Send Invitations.
    • To send invitations during the overnight or morning hours for the US Eastern time zone, select View Participants.
The system sends the invitations at the time that you chose. You can see all the new participants immediately on the Participants tab. All the new participants have a status of Pending.
If a participant's link expires, they can contact the support email or phone address that is included in the invitation email and ask to have the invitation resent.
