Check In an Appointment

This topic describes how to use the Check In Appointment workflow to account for patients arriving for scheduled appointments at a healthcare facility.

Note:

  • You must select a location for appointments to be displayed. Additional filters include Appointment Type, Resource, and Patient Name/DOB.
  • You can manually refresh Patient Tracker. Additionally, Patient Tracker automatically refreshes every five minutes, each time an action is taken, or when you navigate away and back. From Patient Tracker, locate the appointment you want to check in.
To check in an appointment:
  1. Select Actions (…), then select Check In Patient.

    Note:

    The arrival and visit date and time are set to the current date and time. The Visit status is updated to Active.
      • If the patient does not have any optional or required tasks that need to be completed, then the appointment status is updated to Checked In. When the patient is ready to be moved to a room, select the appointment. Select Actions (...), then select In Room.

        Note:

        The Move to Room action can also be completed from the Ambulatory Organizer.
      • If the patient has any optional or required tasks to be completed, select View Remaining Tasks in the Check In Summary to view optional and required tasks.
      • If the check-in cannot be completed now, close the patient to update the appointment status to Arrived. When you are ready to complete the check in, select the appointment, then select Complete Check In.
To update an incomplete task:
  1. Select the incomplete task, then complete the following details:
    1. Patient Information: A required task is displayed as incomplete if any of the following information is missing.
      • Patient first and last name
      • Patient date of birth
      • Primary contact method (for patient or, where designated, proxy) of phone number or email address.
    2. Financial Responsibility: A required task is displayed as incomplete if insurance is not allocated. See Manage Financial Responsibility at the Visit Level for information about completing this section, then select Done.
    3. Patient Photo: An optional task is displayed if a patient photo is missing. Follow the prompts to attach an image or to take a photo, then select Save.
    4. Patient ID: An optional task is displayed if patient identification is missing. Follow the prompts to upload or scan identification, then select Save.
  2. Select Mark as Checked In. The appointment status is updated to Checked In.

    Note:

    The Mark as Checked In button is enabled when all required incomplete tasks are completed.
  3. When the patient is ready to be moved to a room, select the appointment. Select Actions (…), then select In Room.

    Note:

    This step can also be completed from the Ambulatory Organizer.
