Manage Visits

This topic describes how to manage visit-related tasks to ensure that coordination occurs across departments.

Search for a Patient

Search for and select the patient to open the patient profile. See Search for Persons.

View Visit Information

To view detailed information about a visit, select the applicable visit from the Visit List. You can filter the Visit List by (appointment) State and Visit Type. Visit information is displayed in the side panel including appointment reasons, time and duration, location, resources, comments, preparations, instructions, and so on.

Note:

When you view visit details, an audit entry is created to ensure HIPAA compliance.

Manage Visits from the Visit List

You can quickly manage visits from the medium or expanded view of the Visit List. You can edit visits directly, reschedule an appointment, cancel an appointment, or resend appointment notifications. Missing information for a visit is displayed in the Needs Attention panel.

Note:

You can also manage visits by selecting the visit from the Today's and Active Visits section of the patient profile.

To update a visit from the Visit List:

  1. Locate the visit on the Visit List, and select Actions (...) and then select the appropriate option.
  2. Update the visit as needed. For rescheduling an appointment, select Continue to initiate the reschedule appointment workflow. For canceling an appointment, select Cancel Appointment.

    Note:

    For past visits with appointments in a Checked Out status, select Actions (...), then select Book Again to initiate the schedule appointment workflow. The system defaults to the same appointment type and provider as the previous visit.

Edit Visit Information

To manage visit information:

  1. Locate the visit on the medium or expanded view of the Visit List, select Actions (...), then select Edit Visit.
  2. Update details as needed and select Save.

    Note:

    If the visit is being managed outside the facility, select values for Place of Service Facility and Place of Service Code.

    Note:

    After you have edited an appointment, the system automatically performs the following actions:
    • An HL7 outbound message is submitted.
    • An appointment history notation is logged, including the time of the transaction and the name of the user who performed the task.
    • An audit entry is created to ensure HIPAA compliance.

To view or manage patient forms, see Manage Patient Forms. Select Save when complete.
