Checking In Multiple Reservations (Mass Check In)

Use Mass Check In to check in multiple block or individual reservations in a single process.
  • The reservations must be in arrival (due In) status.

  • The reservations must have a valid payment method and details.

  • The reservations assigned rooms’ occupancy status is vacant.

  • Linked reservations can be mass checked in.

There are two mass check in procedures available.

Reservations that fail to check in remain in Arrival (Due In) status and the assigned room is locked when Do Not Move status applies.

After the reservations are checked in:

  • The expected time of arrival (ETA) is updated with the checked in time.

  • The arrival date is locked and cannot be modified.

  • Deposit payments are transferred to the reservation account.

  • The check in cannot be reversed once financial charges exist on the reservation account. Reservations with deposits are eligible to be reversed.

  • The Do Not Move lock is removed  

Checking In Multiple Reservations with Room Assigned

To check in multiple reservations, each with a room assigned:

  1. From the OPERA Cloud menu, select Front Desk and then select Arrival.

    Note:

    You can also open Arrival Search from the Arrivals Tile on your Dashboard or use Quick Launch. You can also use Room Assignment when at least one assigned room is selected.
  2. Enter search criteria then click Search.

  3. Select the reservations in the search result then click Mass Check In.

    1. In the Check In Options panel, select the Room Status check boxes to allow a check in.

      1. Inspected: Select to include rooms with an Inspected status (available when the Inspected Status OPERA Control is active).

      2. Clean: Select to include rooms in a Clean status.

      3. Pickup: Select to include rooms in a Pickup status (available when the Pickup Status OPERA Control is active).

      4. Dirty: Select to include rooms in a Dirty status.

      5. Out of Service: Select to include rooms in an Out of Service status (available when the Out of Service OPERA Control is active).

      6. Click Process.

    2. In the Mass Check In Status screen, review the status. You can select from the following options:

      1. Sort By: Select to change the sort order of the reservations listed

      2. Confirmation: Click link to launch reservation presentation to make further updates. For more information, see Editing a Reservation.

      3. Click Print to generate a report of this information. A report appears in a new browser window for printing.

      4. Click Close to continue.

    3. In the Room Keys panel

      1. Select key options to encode room keys. For more information, see Managing a Room Key / Door Lock Property Interface.

      2. Click Process.

    4. In the Registration Card panel.

      1. Select a Registration Card. Select a registration card template from the list (Defaults according to the Default Registration Card OPERA Control).

      2. Select Guests.

        1. Primary and Accompanying. Select to generate a registration card for primary guest and accompanying profiles (Available when Print Registration Cards for Accompanying Guests OPERA Control is active).

        2. Primary Only: Select to generate a registration card for primary guest only.

      3. Report Destination

        1. Preview (to Print): Select to preview as PDF.

        2. Email to Print: Select a printer from the list.

        3. Email: Select to email.

          1. Email Address: Enter an email address.

      4. Click Process.

Auto Assigning Rooms and Checking In Multiple Reservations

To auto-assign a room (if not already assigned) and check in multiple individual or block reservations you can use the Auto Assign and Check In action to assign a room and mass check in reservations in one process . For more information, see (Batch) Room Assignment.

  1. From the OPERA Cloud menu, select Front Desk, select Front Desk Workspace, then select Room Assignment.

  2. Enter search criteria and click Search.

    Note:

    By default, only unassigned reservations are included in the search. Click Modify Search Criteria to change the search criteria.
  3. Select reservations in the search results.

    Note:

    Hold down the CNTRL key and click to select multiple reservations in the Table, Card or Console view. To select all reservations, select the check box in the header row in List view.
  4. Click Auto Assign and Check In.

    1. In the Room Assignment panel select the Room Status and Room Criteria for the rooms to assign:

      Note:

      The Default Room Status for Room Assignment OPERA Control determines the default room statuses selected in the search panel.
      1. Inspected: Select for rooms with an Inspected status. (available when the Inspected Status OPERA Control is active).

      2. Clean: Select for rooms in a Clean status.

      3. Pickup: Select for rooms in a Pickup status. (available when the Pickup Status OPERA Control is active)

      4. Dirty: Select for rooms in a Dirty status.

      5. Out of Service: Select for rooms in an Out of Service status. (available when the Out of Service OPERA Control is active).

      6. Include Departure Rooms: Select checkbox to include rooms in a due out status.

      7. Use Associated Preferences: Select checkbox to enforce the room feature and smoking preference from the guest (primary) profile when the Reservation Room Features OPERA Control and Reservation Smoking Preference OPERA Control are inactive or the reservation when the Reservation Room Features OPERA Control and Reservation Smoking Preference OPERA Control are active.

      8. Floor: Select floor(s) from the list.

      9. Smoking: Select rooms which are smoking or non-smoking. Field is disabled when Use Associated Preferences is selected.

      10. Features: Select rooms with specific features. Field is disabled when Use Associated Preferences is selected.

      11. Start from Room: Select a room from list to begin assigning the room.

      12. Click Assign or click Assign and Mark as Do Not Move to lock the assigned room (Available when the Do Not Move Room OPERA Control is active).

        Note:

        A Do Not Move lock only applies to reservations that fail to check in.
    2. The Room Assignment Status page appears showing the room results. You can select from the following options:

      1. Sort By: Select to change the sort order of the reservations listed
