Reservation Item Inventory

Prerequisites for Reservation Inventory Items

The item inventory feature enables you to manage items required for a reservation; such as extra beds or cribs where a finite number is available on a given day

Other uses for reservation inventory items could be the tracking of limited seating for a special event, limited capacity for a daily tour, boat tickets, or parking spaces at your property.

Once an item is selected for a reservation the availability of the item is reduced for the applicable dates. When the Allow Inventory Items Outside Of Stay Days OPERA Control is active, items can be selected for dates outside of the reservation dates, so long as there is at least one overlapping date with the reservation dates.

When the Sell Control Items OPERA Control is active the sale (selection) of the item will be restricted if there is no inventory available for the selected dates. Users with the Override Item Sell Control task granted will be able to book items when there is no inventory available for the selected dates. Users without the Override Item Sell Control task granted can request a PIN override; other users with the Override Item Sell Control task granted can authorize the override of the sell control via input of their PIN

When the Item Inventory Pool OPERA Control is active items can be grouped into item pools that have a single shared inventory level. The items that are part of the pool must be from the same Item Inventory Class and when sold, all of the items included in the pool are deducted from a single quantity, the maximum quantity of the Item Inventory Pool. When any of the items that are associated to an Item Inventory Pool are sold, the number available will be updated with the new quantity at the pool-level only. Validation for each item booked from the pool will occur when the item itself is reserved. Item Pools are indicated in bold.

An example of the availability of an Item Inventory Pool.
  • Item: Adult Tickets - Quantity in Stock 10

  • Item: Child Tickets - Quantity in Stock 2

These two items are associated with the Item Inventory Pool called Boat Tickets.

The availability of the Boat Tickets Pool is 10, or the maximum quantity of the items associated with the pool. This means that:
  • 10 Adult Tickets can be sold OR

  • 2 Child Tickets and 8 Adult Tickets can be sold OR

  • 1 Child Ticket and 9 Adult Tickets can be sold

The above scenarios are possible without overselling any Item or the Item Inventory Pool itself. Should the Sell Control attribute be defined for the items then overbooking of the items and thus the pool itself can be overbooked.

When used in conjunction with reservation package items a sales charge for an inventory item can be auto-posted to the reservation account during end of day; this is useful for items such as cribs and extra beds for which a charge is incurred.

In the event that reservation dates are amended an automated process will identify and apply the required changes to the dates for selected reservation items. When the Allow Inventory Items Outside Of Stay Days OPERA Control is inactive or the Outside of Stay Days check box is not selected for the item, the inventory item will be automatically removed from the updated reservation when it is saved. You will be informed if any item had to be removed due to no item availability, or item dates falling outside of the new reservation stay dates. The same applies to items added via a package item selected for the reservation.
