Create a Sales Account Profile (Video Transcript)

00:06

In this video, you will learn how to  create a sales account profile.

00:10

A sales account refers to a company, travel  agent, or any booking source and is used to

00:16

track statistics for the business. Let's get started.

00:20

In OPERA Cloud go to Client Relations,  Profiles, and then select Manage Profile.

00:26

Next, I click the I want to menu, and then  click to create a travel agent profile.

00:33

Enter the travel agent name, and  any other optional information.

00:39

Click the magnifying glass to select  a communication type from the list.

00:43

In this example, I select business  phone number and then click select.

00:48

Now, I enter the phone number  and the email address.

00:54

Then, I enter the address details. Now, I can select one of the following options;

01:00

to save the profile and add more details, to  save and create linked profile, or save.

01:06

In this example, I click save  profile and add more details.

01:11

Now, on the travel agent profile I can access any  of the detail links to add or edit the details.

01:22

With an OPERA Cloud Sales and  Event Management subscription,

01:26

Sales information can be added to Company,  Travel Agent, Source, or Contact profiles.

01:32

Click the Sales Information link and  then click edit to enter the details.

01:37

Now, select the magnifying glass next  to each option to select the relevant

01:41

details for this sales account profile. You can select any of the following options:

01:47

territory, priority, business potential,  account type, business segments, industry,

01:54

account source, mail action, competition,  scope, or the scope city.

02:01

You can use these fields as  filters and view the data in

02:04

sales reports to analyze and assist  in the sales decision-making.

02:08

And click Save. Click close.

02:12

Let's take a look at negotiated rates. Any profile type can have negotiated rates,

02:18

however negotiated rates are  typically associated with companies,

02:22

travel agents, or booking sources with an ongoing  relationship or agreement with the property.

02:30

When an agent creates a reservation  using the Look to Book Sales screen,

02:34

any negotiated rates associated with  the linked profiles display to ensure

02:38

the contracted rate is quoted to the customer. If OPERA Cloud is configured for multiple

02:44

properties, then you can select negotiated  rates at one property and distribute

02:49

the rates to the other properties. I can search for rate codes associated

02:52

with a property or as in this example, I can  assign a negotiated rate code to the profile.

02:59

Click New, and then click the rate code magnifying  glass to select a rate code from the list

03:10

and then click select. I can change the start or end dates,

03:14

or change the sequence order for the rate  code to display and then click Save.

03:19

Now, let's take a look at Financials  for this sales account.

03:23

Click the Financials link.

03:28

Click the vertical ellipse  and then click edit.

03:31

Now, I can setup default charge routing  instructions for this sales account.

03:35

Routing instructions automatically  transfer charges to a billing window

03:38

for the associated profile. A typical scenario for this option

03:42

is to select the routing codes that will  automatically transfer the accommodation

03:46

charge to a separate billing window. I search for the available routing

03:50

or charge codes on the left and then  select by clicking the right arrow.

03:55

Next, select a payment method from the drop-down  list, and update any additional information.

04:02

Select the Auto Populate Routing check  box if you want to automatically apply

04:06

these routing instructions to  all new reservations linked to

04:09

this this profile . And then click Save.

04:13

Now the default routing instructions are  saved to this sales account profile.

04:21

Click close.

04:22

Now, let's take a look at how to add  notes to the sales account profile.

04:28

Click the Notes link. Click New.

04:30

Change any of the information and then add the  note text in the comment field and click save.

04:37

The note displays, select the vertical  ellipse to edit or delete the note.

04:43

To see more actions related to this  profile, click the I want to menu.

04:47

Now, I can create a new activity,  reservation, or block for this profile.
