Configuring Sales Allowances

The Sales Allowance sets the max amount of rooms that the hotel sales office can sell, aside from what the hotel in general is selling. The allowance given will be evaluated whenever group bookings are made and a warning issued whenever the amount of deduct-inventory group rooms exceeds the Sales Allowance. The allocated sales allowance per day is evaluated whenever group bookings are updated (change of status, shift dates, copy to new) and a warning issued whenever the number of deduct-inventory rooms exceeds the Sales Allowance for the applicable dates of the business block. Only certain blocks will be affect by the Sales Allowance, based on the user designation in the Act As field in user configuration, for more information see Managing Users, and the Block Origin for Sales Allowance block setting in OPERA Controls. 

The Overbook Sales Allowance user task can be granted to roles to permit  sales staff to override the sales allowance limit and continue with the group block creation.

Sales Allowance lets you:
  • Define a number of rooms to allow for a configured date range.

  • Select the days of the week affected by the sales allowance within the date range.

  • Define cutoff days for the date range.

  • Enable an increase or a decrease in the entered number of rooms and date range.

  • Access Sales Allowance if your user role has the Sales Allowance configuration task.

  • Exceed the Sale Allowance if your role has the Override Sales Allowance user task.

Loading Sales Allowances

Use the Load option to create or update sales allowances. If you are creating a new sales allowance, you can skip the Search function and click Load.
  1. From the Administration menu, select Booking, select Block Management, and then select Sales Allowance.

  2. Enter or confirm the Property, enter a Start Date and End Date, and click Search. Search results show configured sales allowances start dates and cutoff dates, plus the following columns of information:
    1. Allowance: The number of rooms allowed for group reservations during the date range.

    2. Available: The current number of rooms available out of the sales allowance.

    3. Booked: The number of rooms currently booked out of the sales allowance.

    4. Overbooked: The number of rooms overbooked above the sale allowance.

  3. From search results, click Load and enter or select the following:

    1. Property: Select or confirm the property.

    2. Start Date: Beginning date that the sales allowance is valid.

    3. End Date: The last day that the sales allowance is valid.

    4. Increase/Decrease: Select the check box to enable increasing or decreasing the existing sales allowance quantity. Enter a minus sign (such as -10) before the number to decrease the quantity. Otherwise, the number is added to the pre-existing quantity.

    5. Sales Allowance: Number of room nights to allocate as the sales allowance for the specified dates (note: the value cannot be greater than the total number of inventory rooms).

    6. Cutoff Days: The number of days the allowance is in effect before it is cut off. The cutoff date must be within the specified date range.

    7. Days of the Week: Select the days of the week in which the sales allowance is valid.

  4. Click Save.

Deleting Sale Allowances

You can delete sales allowance records unless the rooms are allocated to blocks. A message appears if the rooms are allocated.
  1. From the Administration menu, select Booking, select Block Management, and then select Sales Allowance.

  2. To search for sales allowances, enter or confirm the Property, enter a Start Date and End Date, and click Search.

  3. From search results, select a Sales Allowance and click Delete. If rooms are allocated during the date range, you are prevented from deleting the record. A warning message appears.

  4. Click Delete.
