Creating Reservations Using Quick Book

Quick Book is available for rapid guest reservation entry and is an alternative to the Look to Book Sales Screen.

Quick Book commences with entry of the reservation details with optional access to an Available Rates screen for room type availability and rate pricing details. An Analyze Rate screen for assessing and overriding closed rates is also available.

  • Owner and Owner Referral reservations (When the Room Rotation OPERA Control is active).

Creating a Reservation

  1. From the OPERA Cloud menu, select Bookings, select Reservations, select Quick Book.

  2. Complete the following:

    1. Property Search.

      1. Property. Select or confirm the property.

      2. Arrival Date. Enter or select a start date for the reservation.

      3. Nights. Enter the duration.

      4. Departure Date. Enter or select the reservation’s end date.

      5. Rooms. Enter the number of rooms to book.

      6. Adults. Enter the number of adults.

      7. Children. Enter the number of children.

      8. Ages. Enter children ages (available when the Child Rates By Defined Buckets OPERA Control is active).

    2. Booking Details:

      1. Name. Enter the surname to search for an existing guest profile or click Create Profile to create a new profile. When the Profile Mailing Privacy OPERA Controls is active, you can update the privacy options for the new profile.

      2. Rate Code: Select a rate code from the list. Click the search icon to launch the Available Rates grid. This field is mandatory if the Rate Code Mandatory when OPERA Control is active.

      3. Room Type. Select a room type for the reservation. Click the search icon to launch the Available Rates grid.

      4. Room Type to Charge (RTC): Select the room type to charge for the reservation; this can be different to the room type allocated for the reservation and used in the event of a complimentary upgrade. (Available when the Room Type to Charge OPERA Control is active).

      5. Rate Amount. The rate amount will populate based on the selected rate code and room type to charge.
        1. Fixed rate. Select the check box if you manually update the Rate Amount (Available when the Fixed Rates OPERA Control is active). 

      6. Reservation Type: Select a reservation type from the list to confirm the status of the reservation (deduct from inventory or non-deduct).

      7. Discount Amount: Enter a rate discount amount if applicable (enabled based on the selected Rate code). (Available when the Reservation Discounts OPERA Control is active).

      8. Discount Percentage: Enter a rate discount percentage if applicable (enabled based on the selected Rate code). (Available when the Reservation Discounts OPERA Control is active).

      9. Discount Reason: Select a discount reason from the list (enabled based on the selected Rate code) . (Available when the Reservation Discounts OPERA Control is active). 

      10. Market Code: Select a market code from the list. This is required for revenue statistics.

      11. Source Code: Select a source code from the list. This is required for revenue statistics.

      12. Room Features: Select requested room features from the list; features will default from selected guest profile.

      13. Specials: Select requested special requests from the list.

      14. Smoking Preference: Select guest smoking preference from the list; preference will default from selected guest profile.

    3. Add Notes: Click to add reservation notes. Refer to Managing Reservation Notes.

    4. Add Packages: Click to add package items. Refer to Reservation Packages.

    5. Complete the Payment Details

      Note:

      If your property is integrated with a payment partner you can enter card details via a payment terminal using the Payment Instructions panel from Manage Reservation.
      1. Method: Select a payment method from the list.

      2. Card Number: Enter the credit card Primary Account Number (PAN).

      3. Expiration: Enter the credit card expiry date.

      4. Card Holder: Enter the name on the credit card.

  3. Click Save to create and confirm the reservation. The Reservation Presentation opens enabling you to make further updates.

Using the Available Rates Grid

Note:

The Default Availability Option OPERA Control is referenced to determine which rates to display by default.
  1. On the Rates Grid, you can use the following search options:
    1. Display Set: Select a display set from the list.

    2. Rate Code: Enter or select a rate code.

    3. Include Closed Rates: Select to include a display of closed rates (due to rate or room type availability).

  2. Click Update to refresh the Rates Grid.

  3. Click Legend to view details of the color indicators on the Rates Grid.

  4. For Rate/Room Type Information, select any room and rate combination rate amount to view detailed information about the room type and rate policies.
    1. Room Rate Summary: Shows room type and rate code information.

    2. Rate Information: Shows the rate detail breakdown by day.

    3. Policies: Shows the available Reservation Type options for the rate and room combination that is selected.

  5. Select Rate/Room Type:

    1. Double click any available room and rate combination rate amount to select it for the reservation and return to Quick Book entry.

    2. If the room type and rate combination has restrictions (closed), you are directed to the Rate Availability Analysis screen.

Using the Rate Availability Analysis

Rate availability analysis appears automatically if there are availability restrictions for the reservation details you have entered on the Quick Book screen.

The left panel displays the analysis of the restriction(s) on the room type or rate.

The right panel displays alternate dates for when the restrictions do not apply. Use the calendar or < > navigation to display alternate months.

The following options are available:
  1. Override: Users with override tasks assigned to their roles can override and proceed with booking the selected room and rate combination.

  2. Goto LTB: Users without override task assigned to their roles can transfer to the Look To Book Sales Screen to continue creating the reservation.

  3. Available Rates: This launches the Available Rates Grid with focus on the selected room and rate combination. Refer to Rate Restrictions.
