Managing Opportunities

You can use Opportunities to track qualified sales leads. You can create Opportunities from the I Want To menu in Manage Profiles, Manage Blocks, Function Diary, or the Group Room Control. A Created as Opportunity field is available in the Reporting and Analytics Bookings - Block Subject Area for custom reporting.

Note:

Ensure the OPP block status code is updated with a default reservation type and display color.

Creating Opportunities

You can create Opportunities using the following steps:
  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and then select Manage Profiles or

  2. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Blocks or

  3. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Group Rooms Control or

  4. From the OPERA Cloud menu, select Bookings, select Events, and then select Function Diary.

  5. Click I Want To . . . , select Create Opportunity, and complete the following:

  6. Block Definition Panel
    1. Property: Enter or select the property.

    2. Account: Select a sales account (company, travel agent, or source) to link to the opportunity.
      • The Account magnifier opens the Quick Profile Search screen where you can search for a Company, Travel Agent, and related Contact Profiles to associate with the Block. Or, you can select I Want To . . . and create a new profile. For more information, see: Creating a Sales Account Profile.

      • Search results display account profiles and account contacts. After selecting an account, click Select Account Only or click Select Account and Contact. If you select Account and Contact, the system auto fills the Account field and the Contact field on the Create Opportunity screen.

      • While on the Quick Profile Search screen, you can add a contact to an account by clicking the Account Actions ellipsis and selecting Create Linked Contact. Click Save and select the Create Linked Profile screen to auto populate the selected account and the newly created contact in the relevant fields on the Create Opportunity screen.

    3. Start Date: Enter or select the start date for the Block. The date might vary from the reservation arrival date if events occur on the day prior. The field is blank when the Blank Business Block Start Date OPERA Control is active.

    4. Nights: Enter the number of nights for the block. The Maximum Number of Block Days OPERA Control determines the maximum value you can enter.

    5. End Date: If you enter a number of nights in the Nights field, OPERA Cloud automatically updates the End Date.

    6. Block Name: Enter a block name. The field auto fills from your Account field selection.

    7. Block Code: Enter a Block Code. The Block code must be unique when the Unique Block Code OPERA Control is active. The Block code format is determined by the Block Code Generation Pattern OPERA Control.
      1. Click Get Default Block Code to generate a block code

    8. Market: Select a market from the list for statistical purposes (defaults to the Default Market Code for Opportunity OPERA Control). Enable this field using Page Composer.

    9. Source: Select a source code from the list for statistical purposes (defaults to the Default Source Code for Opportunity OPERA Control). Enable this field using Page Composer.

    10. Reservation Type: Select the Reservation Type from the list.

    11. Decision Date: Enter or select a date when the group organizer must make a decision to proceed with the booking.

    12. Follow-up Date: Enter or select a follow-up date for this block. This date could be used to confirm room requirements or confirm the opportunity.

    13. Trace Code: Select an Activity Trace Code to be associated with this block. This specifies standard Sales Activities to be created for this opportunity.

    14. Catering Only: Select the check box if the Opportunity is for events only (no guest room allotment is required).
      • When the Catering Only OPERA Control is active and you select its check box, the Room Details section is hidden on the Create Block screen and the Save and Go To Grid button is disabled. The check box is used in reports to identify events-only blocks.

      • When the Catering Only OPERA Control is inactive and you select its check box, the Room Details panel and Save and Go To Grid button remain available.

  7. Room Details Panel
    1. Rate Code. Select a rate code from the list.

    2. Room Type/Room Pool. Select a room type or room pool from the list (Room Pool is available when the Room Pool OPERA Control is active).

    3. When the Occupancy Split OPERA Control is active:
      1. Occupancy 1: Enter number of single occupancy rooms.

      2. Rate 1: Enter a nightly rate amount.

      3. Occupancy 2: Enter number of double occupancy rooms.

      4. Rate 2: Enter a nightly rate amount.

      5. Occupancy 3: Enter the number of triple occupancy rooms.

      6. Rate 3: Enter a nightly rate amount.

      7. Occupancy 4: Enter the number of quad occupancy rooms.

      8. Rate 4: Enter a nightly rate amount.

        Note:

        The rate fields are disabled when a rate code is selected for the opportunity.
    4. Number of Rooms. Enter the number of rooms required.

    5. Rate. Enter a nightly rate amount.

  8. Catering Details Panel

    1. Attendees: Enter the number of attendees. This will populate to Attendees on the block as well as Attendees on each event created.

    2. Click Add Rows to add additional events.

    3. Event Type : Select an event type from the list.

    4. Day: Enter comma separated values to indicate the day or days the event should be created on.  For example, entering 1,2,3 for an Opportunity with a start date of March 8 will create the events on March 8, March 9, and March 10.

    5. Quantity: Enter the number of events.

    6. Start Time: If the selected event type has a default start time it will populate automatically.  If there is no default value a start time must be entered.

    7. End Time : If the selected event type has a default end time it will populate automatically.  If there is no default value an end time must be entered.

    8. Event Notes: Click the vertical ellipsis Actions menu and select Add Note.

    9. To delete an event, click the vertical ellipsis Actions menu and select Delete.

      1. Click Delete to confirm.

  9. Click Save .

    or
    1. Click Save and Manage Block to open the Block Presentation and add more details to the opportunity.

    2. Click Save and Go To Room Grid to open the Room & Rate Grid where you can allocate rooms and rates for the opportunity.

    3. Click Save and Create Event - to create the Opportunity open Create event.

    4. Click Save and Add Template -to create the Opportunity and open Create Event from Templates .

    5. Click Save and Add Package - to create the Opportunity and open Catering Packages .

Updating Opportunities

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Select the Opportunity check box, enter additional search criteria, and click Search.

  3. Select the Opportunity block in the search result and then click I Want To . . . and select Block or open the block by clicking the Block ID or Block Code.

  4. See Creating Opportunities.

  5. Click Save.

Confirming Opportunities

To convert an opportunity to a confirmed block:

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Select the Opportunity check box, enter additional search criteria, and click Search.

  3. Select the Opportunity block in the search results, click I Want To . . . , and select Convert To Block.

Note:

The Convert Opportunity to Block Status OPERA Control determines the default status of the block. Events associated with the block automatically update to the same status.

Releasing Opportunities

To update the status of an opportunity to lost, based on the Release Opportunity Status OPERA Control:
  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Select the Opportunity check box, enter additional search criteria, and click Search.

  3. Select the opportunity block in the search result, click I Want To . . . , and select Release Opportunity.

  4. Complete the following Cancellation Details:
    1. Block Cancel/Lost Reason: Select a cancellation/ lost reason from the list.

    2. Destination: Select a destination from the list if the opportunity is booked elsewhere.

    3. Property: Enter the property name if the opportunity is booked elsewhere.

    4. Description: Enter a description.

    5. Cancel PM Resv: Click to cancel any pseudo room reservations created for the block.

      Note:

      The cancellation number is recorded in the Viewing Changes Log Details.
  5. Click Save.

    Note:

    The Release Opportunity Status OPERA Control determines the lost status.
