Configuring Block and Catering Event Status Codes

Configure the status codes to be used in Blocks and Events. (Available when the Catering Events OPERA Control is active). Both Blocks and Events progress through a series of statuses and, as such, a block (and event) status flow must be configured. See Configuring Status Code Flow.

Note:

In multi-property operations, Block Status and Block Status Flow is a global configuration enabling you to configure a maximum of 20 status codes.

Adding Status Codes

  1. From the Administration menu, select Booking, select Block Status, and then Status Codes.

  2. Click New and enter the following details:

    1. Code: Enter a code that is used to define the status.

    2. Description: Enter a description for the status.

    3. Sequence: Enter a sequence that indicates the order the status code. The sequence order is important for when you set up the Block Status Flow. Only status codes with a higher sequence value can be selected as a 'next status'.

    4. Room Status Type: Select a room status type from the list:
      1. Inquiry: Indicates the initial status of a group. This block status does not deduct rooms from the inventory. The Include Inquiry in Non Deduct Inventory Calculations OPERA Control determines whether status codes configured as Inquiry should be included in the Non-Deduct Inventory calculation on Group Rooms Control and the Function Diary.

      2. Non Deduct Inventory: Does not deduct from the inventory.

      3. Deduct Inventory: Deducts rooms from inventory.

      4. Actual: Deducted from inventory. Status is automatically updated to Actual based on the Turn Booking into Actual Upon OPERA Control.

      5. Waitlist: This status type is only used to Waitlist catering events. (Available when the Catering Events and Event Waitlist OPERA Controls are active.)

      6. Cancel: This status returns the number of rooms deducted to house availability; used in conjunction with the Return Inventory check box.

    5. Catering Status Type: Select a catering status type to use with the status code (Available when the Catering Events OPERA Control is active).
      1. Inquiry: Indicates the initial status of catering events. Does not deduct function space from inventory.

      2. Non Deduct Inventory: Does not deduct function spaces from inventory.

      3. Deduct Inventory: Deducts function space from inventory.

      4. Actual: Actual is deducted from inventory, and status is automatically updated to Actual based on the Turn Booking into Actual Upon OPERA Control.

      5. Waitlist: This status type is only used to waitlist catering events. (Available when the Catering Events and Event Waitlist OPERA Controls are active.)

      6. Cancel: This status returns the function space deducted to availability.

    6. Default Reservation Type: Select a reservation type to be used for this status code. The reservation type and status code must have the same deduct/no deduct status. For more information, see Reservation Types

    7. Color: Select a display color to associate with the status code. The select color identifies the event status on the Group Rooms Controls and the Function Diary.

    8. Starting: Select check box to indicate this status code is a starting status. Blocks and events can commence in this status.

    9. Return Inventory: Select the check box to indicate the block in this status code will have its room allocation returned to house availability.

      1. Reason Type: Select a return inventory reason type from the list. This option is enabled when the Return Inventory check box is selected.

        1. Cancellation

        2. Lost

        3. Refused

    10. Allow Pickup: Select check box to indicate the block is open for pickup (reservation rooming list entry) when in this status. Status codes with a Room Status Type of Inquiry cannot be configured with Allow Pickup check box selected..

    11. Diary: Select check box to display events in this status in the Function Diary .

    12. Log Catering Changes: Select check box to track event changes to the event change log once events are in this status.

  3. Click Save.

Editing Status Codes

Note:

 If a status code is used in blocks and/or status code flow configuration, the Allow Pickup check box cannot be modified. 
  1. From the Administration menu, select Booking, select Block Status, and then select Status Codes.

  2. Enter search criteria and click Search.

  3. Select the status code in the search result, then click the vertical ellipsis Actions menu and select Edit.

  4. Update details.

  5. Click Save.

Deleting Status Codes

You cannot delete status codes used in Blocks, Events, or configured as part of the Block Status Flow.

  1. From the Administration menu, select Booking, select Block Status, and then Status Codes.

  2. Enter search criteria and click Search.

  3. Select the Status Code, then click the vertical ellipsis Actions menu and select Delete.

  4. Click Delete to confirm.
