Update a subject number

If you ever need to update a subject number, you can do so during the study conduct period.

Before you perform this task, consider the following:
  • When a subject number is updated, that subject is temporarily locked in the system and you cannot perform any other updates related to it. After the update is complete, you can manage your subject as required.
  • If you attempt to update multiple subject numbers at the same time, and some of the new numbers do not adhere to the subject number format required by the system, none of the subject numbers are updated and you receive the appropriate validation messages. To ensure that you successfully update multiple subject numbers at once, you must check that the updated subject number meets the format requirements.
  • You cannot change the subject number to one that already exists. Also, if you need to swap two subject numbers, they need to be updated at the same time.
  1. From the Home page, determine where to work: Training or Production mode. For more information, see Access study modes and pages.
  2. Open the study and confirm you're on the Subjects tab.
  3. If you are associated with more than one site, use the Site filter to choose the specific site that requires subject number updates. If you are only associated with one site, then proceed to step 4.

    Note:

    You must first use the Site filter if you are associated with more than one site, as you can only update subjects one site at a time. If you are only associated with one site, you don’t need to apply the filter.
  4. You now have two options:

    Option Details
    Update a single subject
    1. Select the radio button to the left of the subject. Then, from the Manage dropdown, select Update Subject Number(s).

      The Update Subject Number(s) dialog opens.

    2. Add the new subject number under Update To, then proceed to step 5.
    Update multiple subjects
    1. Select the radio button to the left of one of the subjects that requires an update. Then, from the Manage dropdown, select Update Subject Number(s).

      The Update Subject Number(s) dialog opens.

    2. Add the new subject number under Update To.
    3. Select Add (Add) to add additional rows.
    4. Select the next subject from the Select Subject dropdown and then enter the new subject number under Update To.
  5. Enter a Reason for Change and then select Update.

    A dialog appears indicating that the update of the subject numbers is complete. Select OK.

    Based on your permissions, you may receive an email notification for each subject for whom the subject number was updated.

To view the history of subject number updates for a subject, select the subject, and expand the Subject History sidebar. A Subject Number Changed update is displayed in the subject's history.
