Function Space Diary Screen Elements


Figure 9 shows the one-day time scale in the Function Space Diary, with the Property form at the top of the screen and the Sales/Execution Diary and Revenue Management view tabs. The Property form shows the name and type, the number of function rooms, and number of sleeping rooms for the default property. From the form, the user can query for a different property.

In Figure 9, the Function Space Diary shows current bookings and overbookings represented by bars that extend horizontally along the segments of the selected time period (x-axis). The predefined color and patterns assigned to each bar represent the function's inventory status, setup time, and tear-down time. When space permits, the bar contains the function name.

To see more details for function and function line items, the user can click the Function Name link on the booking to automatically navigate to Quotes > Functions. After reviewing function details, the user can click Back to return to the Function Space Diary view.

Each category and its component specific space is shown on the y-axis. The user can expand or collapse individual categories by clicking + or -. The categories and specific spaces are displayed according to the Display Sequence specified within the Property Administration screen's Category view and Property Administration screen's Specific Space view, respectively. In addition, each category shows the default capacity of the category next to its name.

When the mouse pointer is positioned on the category or specific space name, the name is highlighted and underlined in a different color. The user can click the category name link and navigate to the Property Administration screen's Category view. If the user clicks the specific space name link, the Property Administration screen's Specific Space view appears.

Specific space that is not assigned to a category appears as an individual item. To see the list of available function space, the user scrolls vertically.

By scrolling horizontally, the user can see the bookings for the same function space across time. This capability is useful if the user wants to review past dates with actualized bookings to compare availability at a similar season in the past. Users can view holidays, sell notes, and need dates by clicking the Special Dates button. This information helps the user understand availability in the context of any special comments or special dates.
