Freezing Orders Before Event Checks


Before a Banquet Event Order (BEO) report is generated, the event manager must freeze the event orders so that changes that affect event execution cannot occur after the BEO reports are generated. The event manager can freeze individual event orders or the manager can freeze all orders that have functions on a specified date. After Freeze or Freeze Day is clicked, no changes can be made to orders until Revise or Revise Day is clicked.

This task is a step in Process of Generating Event Checks.

To freeze an order for an event

  1. Navigate to the Orders screen > Event Order view.
  2. In the Event Orders list, query for the order.
  3. In the Order record, click the link in the Order # field.
  4. In the Order Functions list, select the function record.
  5. From the Orders form, click Freeze.

To freeze all orders for a day

  1. Navigate to the Orders screen > Event Orders view.
  2. In the Event Orders list, query for orders that occur on a specific date.
  3. Click Freeze Day.

    A dialog box appears with the current date shown.

  4. Change the date to the freeze date, and then click Freeze Day.

    All orders with functions on that date become read-only.

  5. In the Event Orders list, select each order to make sure the record cannot be edited.

NOTE:  If no orders with functions exist for the specified date, a no matching records message appears.
