Revising the Order After the Event


After the event has concluded, the operations manager must update the event order with changes that occurred during the function. For example, the event order might be revised if products different than those specified in the order were used. Product quantities would be updated to reflect actual consumption.

Event managers make changes to the Event Order using the Orders screen's Functions view. The read-only records can only be edited after the event manager clicks Revise. The changes should reflect what actually occurred at the event so that an accurate invoice can be generated during the Post Event Check process.

The user can create and sequence internal and external notes associated to an order using the Event Order Notes view. Event Managers can update these note records to detail changes that occurred at the actual event.

Changes made after the event order is frozen are tracked on the Order Line Item record. The Modified field on the Order Line Item record tracks each change that is made subsequent to the Revise process.

To update individual orders

  1. Navigate to the Orders screen > Event Order view.
  2. In the Event Orders list, query for the order record.
  3. In the Order record, click the link in the Order #.
  4. In the Order form, click Revise.
  5. Click the appropriate view tabs, and scroll within each view to update order details, functions, line items, and notes.

To update all orders in a day

  1. Navigate to the Orders screen > Event Order view.
  2. In the Event Orders list, query for all the order records that occur on a specific date.
  3. In the Event Orders list, select all the order records and click Revise Day.
  4. In the dialog box, change the current date to the desired date, and then click Revise Day.
  5. Click the appropriate view tabs and scroll within the view to update order details, functions, line items, and notes.

    If there are no orders associated with the specified date, the following message appears:

    No matching records exist
