To learn what notifications are and what they are used for, refer to What You Can Do with Notifications.
Note: You must have permission to create system notifications. If you think you are supposed to be able to create system notifications, but you do not see the System Notifications folder, contact your portal administrator.
To create or edit a system notification:
If the System Notification Editor is not already open, open it:
On the Notifications tab, expand the Systems Notifications folder as necessary, and open the desired folder.
Open the System Notification Editor in one of the following ways:
To create a system notification, click Create System Notification.
To edit a system notification, check the box next to the notification and click .
To select the rule you want to trigger this notification, click Rule. For more information, refer to Select Rule. The Subject and Message are populated by the selected rule.
Public notifications can be viewed by the recipients' managers. If you do not want anyone other than yourself and the recipients to be able to see this notification, select Make Notification Private.
In the Priority drop-down list, select the importance of this notification (high, normal, or low).
In the To box, specify the users or notification lists to whom you want to send this notification:
Type the names of the users and notification lists, separated by commas (,). Click Check Names to make sure that your entries correctly correspond to actual users or notification lists. If there are any invalid names, the Select Users and Groups dialog box displays to help you find the correct name.
To select from a list of users and notification lists, click To. For more information, refer to Select Users and Groups.
To remove a user or notification list from the list, click next to the user or notification list name.
The text in the Subject box cannot be changed; it is populated by the rule you selected.
The text in the Message box cannot be changed; it is populated by the rule you selected.
In the tasks section, specify the tasks associated with this notification:
To associate a task list template with this notification, click Task List. For more information, refer to Select Task List Template. You cannot edit the tasks. Any changes made to the task list template will be propagated to this notification.
To create a new task, click Create Tasks. For more information, refer to Create or Edit Tasks.
To copy the tasks from a task list template, click Copy Tasks From Template. For more information, refer to Copy Tasks From Template. You can edit and delete the copied tasks. Changes made to the task list template will not be propagated to this notification.
To delete a user defined task, check the box next to it and click .
To edit a user defined task, click its name.
To reorder user defined tasks:
To move a task to the top of the list, click .
To move a task up, click .
To move a task down, click .
To move a task to the bottom of the list, click .
To include an attachment (for example, a flyer) with the notification, click Documents. For more information, refer to Select Documents.
To associate approved tips with this notification, click Tips. For more information, refer to Select Tips.
Select the categories to associate with this notification. Users can filter by category, so make sure the categories you select are relevant.
If necessary, click Folder, to select a different folder in which to store this notification.
When you are done, click Finish.
Make sure that the rule associated with this notification is enabled. (All new rules are created as disabled, so that the BAM system (Business Activity Monitoring system) is not wasting resources monitoring for rules that are not being used.) Open the appropriate rules folder, select the rule, and click Enable.
