Track It Types Setup

The Track It function is available when the General>Track It application function is set to Y.

Select Configuration>Setup>Track It>Types to set up the types of items or services that may be associated with Track It ticket records.

Track It types identify items that are then classed into groups. For example, types in the Parcel group might be Box or Envelope; Baggage types might include Golf Bag, Laptop, Suitcase, etc.; Valet types might be Overnight Parking, Hourly Parking; or possibly, kinds of vehicles: Pickup Truck, Sedan, SUV, or Bus; Lost types might be Eyeglasses, Jewelry, Clothing, etc. A type can belong to multiple groups. For example, a Suitcase might belong to both the Baggage group and the Lost group.

You may configure an unlimited number of types for each Track It group (i.e., Parcel, Baggage, Valet, Lost).

The Track It Types Setup screen provides the following information:

Search Criteria

Property. Available when the OPP_MHOT Multi-property add-on license is active. Select the down arrow to choose the property to display Track It types. The default is your log in property.

Show Inactive. Select this check box to display only the inactive types.

Fields

X. Mark an X in this field to select a type when copying, moving, or deleting types. Use the All and None buttons to select or un-select all records.

Code. Unique code that identifies the type.

Description. Description of the type.

Valet/Parcel/Baggage/Lost. An X in these columns indicates the Track It group(s) to which the type belongs.

Seq. Sequence number that determines the position of the type in lists. Edit the type or use the Move Up and Move Down buttons to change the sequence number of the type.

Adding and Editing Track It Types

To create a new type, select the New button. To edit an existing type, highlight your choice and select the Edit button. The Track It Types Setup - New or Track It Types Setup - Edit screen appears.

Provide the following information and select the OK button.

Code. Unique code that identifies the type.

Description. Description of the type.

Sequence. Sequence number that determines the position of the type in lists. You may also use the Move Up and Move Down buttons on the Track It Types Setup screen to change the sequence number of the type. If no sequence number is assigned to a type, it is displayed in alphabetical order following those types that have a sequence number.

Prompt To Send Message. Available when the Front Desk>Messages application function is set to Y. Select this check box to be prompted to send a message to the guest when tickets of this type are attached to the guest's reservation. When you select this check box the Message Code field appears. Select the down arrow to choose the message template to be attached to the reservation. Message templates are set up using Message Formats (Configuration>Setup>Message Formats). The Message button will appear on the guest's reservation.

Note: You will not be prompted to attach a message to the reservation when the Track It type already attached to the reservation is changed from a type that does not prompt for a message to a type that does prompt for a message. Neither will a message be removed from the reservation when changing to a Track It type that does not prompt for a message.

Web Address. Web address associated with this type. For example, for FedEx or UPS types, you may wish to provide the URL of the package tracking site. For immediate access to the tracking site, this Web link appears on the Track It ticket details when this type is assigned to the ticket.

Inactive. Select this check box to make the type inactive. Inactive types are unavailable when creating or editing ticket records. (Types may not be deleted if they have been associated with a ticket number; however, they may be made inactive.)

Available in Track It Groups. Select the check boxes for the Track It groups to which the type belongs.

Copying Track It Types to Other Properties

When the OPP_MHOT Multi-property add-on license is active, you may copy Track It types to other properties. To do so, mark an X in the X column for those types you wish to copy. Select the Copy button to display the Properties list. Select the properties to copy the types to.
