Merge Leads Manually in SFA

Leads functionality is available when the Lead>Lead Functionality application function is set to Y. When the application parameter Lead>Do Not Allow Data Leads is active for a remote property, you can select the Merge button from the SFA Block Options Menu (SFA>Business Management>Business Block Search>Options or Business Block>Options) to manually merge a regular booking with a lead. Once merged, the regular block is linked as a sub-block to the Lead Master.

Note: The manual merge process is only available for regular blocks in SFA (OPF<version number>SFA), not from the property level. It is not available for Master/Sub structures. Nor is merging leads possible for leads that have been sent using the data communication method.

Note: It is possible to switch automatic merging of bookings into existing leads off or on in SFA. When the application parameter Lead>Automatic Lead Merge is set to Y, then incoming bookings from remote properties will automatically be merged into their corresponding leads provided the booking dates and block code are EXACTLY the same for the booking and the lead.

If the application parameter Lead>Automatic Lead Merge is set to N, the incoming bookings with the exact same dates and exact same block code as an existing lead will fail in OXI-HUB with a message indicating that the booking and lead could not be merged due to the application parameter value being N.

After selecting the Merge button from the SFA Block Option menu, the screen for selecting leads appears "Please select a lead to merge with booking..." On this screen, you will search for the lead that the booking resulted from and merge the booking to it. All booking details are retained, but the lead owner initials will be applied to the booking.

Search Criteria

Merge Lead Manually in SFA

Property. When in a multi-property environment, select the down arrow to choose the property for the leads you wish to identify.

Start Date. Select the date when the booking will be arriving or leave it blank to search all dates.

Lead Status. Select the down arrow to choose the current lead status of the leads you wish to identify:

Reply Status. Select the down arrow to choose the current lead reply status of the leads you wish to identify:

Owner. Select the down arrow to display a list of user IDs. From this list you may choose the ID of the user whose leads you wish to identify (that is, the user who is the owner of the business block with which the leads are associated).

Due On. Use the calendar tool to select the reply-by date for the leads you wish to identify. You may also type the date in this field. A search for Leads based on this criteria will return results equal to or greater than the date selected. The default for this field is the current business date. To include leads without due date in the search results, this field must be left blank.

Tour Code. Available if the Blocks>Tour Series application function is set to Y. Enter all or part of a tour code to display all leads related to that tour series.

Tour. Available if the Blocks>Tour Series application function is set to Y. Select this check box to display all leads associated with a tour series.

New. Select a radio button to control the search for new leads.

Replied. Select a radio button to indicate whether you wish to identify leads to which a reply has been received.

Read-only Upper Grid

Above the lead search results grid is a display of the following information related to the highlighted lead.

Account/Contact. Company profile and contact associated with the highlighted lead.

Agent/Contact. Agent profile and agent contact associated with the highlighted lead.

Leads Screen Grid

The following fields are displayed for each lead. Highlight the lead you want to merge with the current business block and select OK.

Start Date. Date the booking will be arriving.

New. An X in this column indicates a new lead.

Lead Name. The name of the lead.

Comm. Communication method used for the lead.

Status. The current lead status. This can be one of the following:

Sent. An X in this column indicates that the lead has been sent to the property identified in the To field.

Reply Status. The current lead reply status. This is the disposition of the lead following evaluation by the receiving property. Reply Status can be any of the following:

Replied. An X in this column indicates that a reply has been received for this lead.

Due On. The date by which a lead reply is expected from the receiving property.

Owner. The property that owns the lead.

Lead ID. ID number assigned to the lead for reference.

From. The property that sent the lead.

Button Functions

OK. Highlight the lead you want merged with the current block and select OK. The next screen in the process appears "Manual Booking/Lead Merge" screen (see below).

Close. Close the "Please select a lead to merge with booking..." screen without merging a lead to a business block. You will return to the previous screen (either Business Block Search or Business Block).

Manual Booking/Lead Merge Screen

This screen appears after OK is selected from the "Please select a lead to merge with booking..." screen. It provides information about the selected booking and lead to be merged. From this screen the merge will take effect when the Merge button is selected.

Button Functions

Merge. After reviewing the "Manual Booking/Lead Merge" screen, select the Merge button to merge the booking and lead. The block will be linked as a sub-block to the Lead Master.

Close. Select this button to close the "Manual Booking/Lead Merge" screen without merging and return to the "Please select a lead to merge with booking..." screen.
