Chapter 15: Working with Pick/Pack Verification (WPPV)

Purpose: Use Pick/Pack Verification to identify who picked and packed merchandise, track the productivity of pickers and packers, and determine staffing requirements in the warehouse.

Additionally, Pick/Pack Verification allows you to verify items being packed either manually, or by a scanning device.

Related system control values

The following system control values control Pick/Pack Verification.

• The Pick/Pack Verification Entry Format (B59) system control value defines the default format that you want to use during Pick/Pack Verification.

Long - this format requires you to enter or scan the pick control number and the item number/SKU.

Short - this format requires you to enter or scan the pick control number and the 7-character short SKU (which represents a unique item/SKU).

UPC - this format requires you to enter or scan the pick control number and the UPC code defined for the item/SKU.

If you do not select a format, the short SKU format automatically appears on the Pick/Pack Verification screen. You can change the format by pressing F6. See Pick/Pack Verification Screen (Display Mode).

• The P/P Scan by Unit Default (B60) system control value determines whether the operator scans single units or if the packer enters the quantity for each item after the item barcode is scanned.

• If set to Y, you can use a scanning device to enter the number of items packed during Pick/Pack Verification. The number 1 automatically defaults to the Quantity Packed field on the Pick/Pack Verification Screen (Enter Mode).

• If set to N, you do not use a scanning device and you must manually enter a quantity in the Qty (Quantity packed) field on the Pick/Pack Verification Screen (Display Mode).

Scanning items

Items can be scanned in any sequence. Once an item is scanned, the program searches the pick to determine which line on the pick contains that item. That line is activated, which means that the program begins tracking the quantity packed for that item.

If each unit is scanned individually, the program accumulates the total quantity packed so far for the item. It will compare this accumulated quantity against the quantity allocated for the line.

If the quantity allocated is exceeded, the program determines if there are additional lines on the pick with that item. If so, it activates that line and begins to accumulate packed quantities to compare against this line. Once all the lines on the order with that item have been filled completely, the operator will be prevented from scanning that item again.

Pick/Pack Verification Screen (Enter Mode)

Purpose: Use this screen to assign a packer to the pick slip for which you wish to perform pick/pack verification.

How to display this screen: Enter WPPV in the Fast path field at the top of any menu or select Work with Pick/Pack Verification from a menu.

A code that identifies the person who packed the merchandise.

Purpose: Use this screen to define the pick control number associated with the pick slip for which you wish to perform pick/pack verification.

How to display this screen: Press Enter on the Pick/Pack Verification Screen (Enter Mode).

Packer code

The code and description of the packer assigned to pack the merchandise for the pick slip you defined.

Packer codes are defined in and validated against the Picker/Packer file.

Packer code: Alphanumeric, 3 positions; display-only.

Packer description: Alphanumeric, 30 positions; display-only.

Control # to pack

The pick slip control number assigned to the pick slip whose merchandise you wish to pick and pack.

When you enter the number, you may receive one of the following error messages:

Pick Control status is W Pick status.

If you receive this error message, you cannot perform pick/pack verification since the pick slip is waiting to receive authorization.

Pick Control status is P Pick status.

If you receive this error message, you cannot perform pick/pack verification since the pick slip has already been packed.

No picker error statistics can be gathered.

If you receive this error message, you cannot perform pick/pack verification since the system cannot find the pick control number you defined, for example, the items assigned to the pick control number have already been shipped.

Pick Control status is V Pick status.

 

If you receive this error message, you cannot perform pick/pack verification, since it indicates the pick slip has been voided.

Picker code

The code of the picker assigned to pick the merchandise for the pick slip you defined.

Picker codes are defined in and validated against the Picker/Packer file.

Picker code: Alphanumeric, 3 positions; optional.

Screen Option

Procedure

Void/Reprint a pick slip.

Press F14. See Chapter 21: Reprinting and Voiding Pick Slips (WVRP).

Step-by-step instructions:

1. Enter the pick control number assigned to the pick slip you wish to pick and pack in the Enter control # to pack field.

2. Optionally, enter the code for the person you wish to pick the merchandise on the pick slip in the Picker code field. If you do not enter a picker code, the system will be unable to produce statistics for this pick slip.

3. The system advances you to the Pick/Pack Verification Screen (Display Mode) where you can enter or scan the items you have picked and packed.

Pick/Pack Verification Screen (Display Mode)

Purpose: Once the system verifies that the pick control number is valid, the system advances you to this screen in Display mode.

The top of the Pick/Pack Verification screen displays the item to be scanned. The format depends on the value defined in the Pick/Pack Verification Entry Format (B59) system control value. See Changing the Item Format.

The next section of the screen is a status window that details the active line number, item number, quantity allocated, and the accumulated quantity packed. The remainder of the screen displays all the lines on the order.

Alternate item entry formats: The Pick/Pack Verification Entry Format (B59) system control value determines which of the item entry formats highlighted on the sample screen displays.

Item # and SKU displays if you defined LONG in the Pick/Pack Verification Entry Format (B59) system control value.

UPC displays if you defined UPC in the Pick/Pack Verification Entry Format (B59) system control value.

SHORT SKU displays if you defined SHORT in the Pick/Pack Verification Entry Format (B59) system control value or a value has not been defined.

You can change the item entry format that displays by pressing F6.

Packer code

The code that identifies the employee as an inventory packer in your warehouse.

Alphanumeric, 3 positions; display only.

Sold to

The last name and first name of the sold to customer on the order. If the sold to customer is associated with a company, the name of the company displays.

Alphanumeric, 30 positions; display-only.

Picker code

The code that identifies the employee as an inventory picker in your warehouse.

Alphanumeric, 3 positions; display only.

Control #

The pick control number, assigned by the system.

Numeric, 7 positions; display only.

Current carton #

The number of the carton currently in use.

Numeric, 3 positions; optional.

Item #

The code for the item for which you wish to perform pick/pack verification.

This field only displays if you defined LONG in the Pick/Pack Verification Entry Format (B59) system control value or you pressed F6 to select an alternate item format.

Alphanumeric, 12 positions; optional.

SKU

The unique attributes of the item, such as color, size, or style.

This field only displays if you defined LONG in the Pick/Pack Verification Entry Format (B59) system control value or you pressed F6 to select an alternate item format.

Alphanumeric, one 14 position field (full SKU) or three 4 position fields (split SKU); optional.

UPC

The UPC code defined for the item. You can define a UPC code for an item in Work with Item/SKUs. See Merchandising Chapter 29: Entering Additional Item Information.

This field only displays if you defined UPC in the Pick/Pack Verification Entry Format (B59) system control value or you pressed F6 to select an alternate item format.

Numeric, 14 positions; optional.

Short SKU

A unique item/SKU number.

This field only displays if you defined SHORT in thePick/Pack Verification Entry Format (B59) system control value, you left the system control value blank, or you pressed F6 to select an alternate item format.

Numeric, 7 positions; optional.

Qty (Quantity packed)

The number of units packed.

Numeric, 5 positions; optional.

Ln # (Line number)

The line number on the order. Up to 999 detail lines may be entered on an order. Order lines are presented in descending sequence so that the most recent order line displays first.

Numeric, 3 positions; display only.

Item # (Item number)

The code that represents a unit of inventory. Validated against the Item file.

Alphanumeric, 12 positions; display only.

SKU

The code that further defines the item.

Validated against the SKU Element (1,2,3) files.

Alphanumeric, one 14 position field (full SKU) or three 4 position fields (split SKU); display only.

Description

The description of the item/SKU.

Alphanumeric, 30 positions; display only.

Alloc (Allocated)

The number of units of inventory allocated to be packed.

Numeric, 5 positions; optional.

Pak'd (Packed)

The number of units of inventory packed.

Numeric, 5 positions; optional.

Ct (Carton)

The carton number that the inventory was packed in.

Numeric, 3 positions; optional.

Unpack an order detail line

Enter 4 next to an item to decrease the packed count value.

Display serial number details

Enter 5 next to an item to advance to the Enter Serial Numbers Screen.

Change the item entry format on the screen

Press F6 to change the item format. You have the option to scan (or enter) the Short SKU, Long SKU, or UPC code for picking and packing. See Changing the Item Format.

Suspend the pick

Press F7 to display the Enter Picker Errors Pop-up Window.

Change the carton number

If all items on the pick cannot be packed in a single carton and additional cartons are required, press F8 to display the Change Carton pop-up window. You can enter another carton number at this window.

Accept the pick

Press F9 to accept the pick. The system accepts the pick and displays a message. See Accepting or Rejecting Pick Slips.

Reject the pick

Press F11 to reject the pick. The system displays the Enter Pick Errors pop-up window. See Accepting or Rejecting Pick Slips.

Enter Serial Numbers Screen

Purpose: Use this screen to enter or change the serial number for each unit of the serial numbered item. Assigning serial numbers allows you to track activity, such as receipts or shipments, for individual units of an item.

How to display this screen: At the Pick/Pack Verification Screen (Display Mode), enter 5 next to a detail line.

Serial #s

The serial number(s) of each unit of the item or SKU. This screen provides a field for entry of a serial number for each unit.

Step-by-step instructions:

1. Enter the serial number for each unit of the item in each field provided.

2. The system highlights any serial number fields that are not complete, or that contain serial numbers that already exist for the item (Note: it does not check the status of the serial number). Complete or correct any fields.

3. Press F9 to submit the serial number entry; otherwise, press F11 to reject and return to the previous screen.

Changing the Item Format

Purpose: Pick/Pack Verification allows you to verify items being packed either manually or by using a scanning device, which scans the pick control number and item number.

The item entry format option displays the item/SKU in the format that is applicable to your business environment.

Overview: Use the Pick/Pack Verification Entry Format (B59) system control value to define the default format that you want to use during Pick/Pack Verification. See Related system control values.

To change the item format: At the Pick/Pack Verification Screen (Display Mode), press F6 to change the item format. F6 acts as a toggle to switch between the Short SKU, Long SKU, or UPC format. For example, if your screen displays the Short SKU field, pressing F6 causes this field to disappear and the long SKU field (ITEM #/ COLR SIZE OTHR) to display.

Suspending Pick Slips

Purpose: Suspending a pick slip puts a Suspend status on the pick control record. When the problem is resolved, the pick can be recalled. Once the remaining items are entered, the pick can be accepted.

A pick may be suspended for several reasons. For example, the picker may have

• picked too few,

• picked too many, or

• picked the wrong item.

Enter Picker Errors Pop-up Window

How to display this window: At the Pick/Pack Verification Screen (Display Mode), press F7 to suspend the pick slip. You also advance to this pop-up window when you reject a pick slip. See Accepting or Rejecting Pick Slips.

Enter the reason why the pick is being suspended (or rejected). You can prompt (F4) on this field to display a list of error codes.

If the problem found at the packing station requires the pick to be modified (e.g., inventory problem - not enough to fill order), the pick control must be voided and a new pick must be generated. See Chapter 21: Reprinting and Voiding Pick Slips (WVRP).

Press F9 if you wish to suspend the pick, but do not want to define an error reason.

Note: You cannot reject a pick without entering an error code.

Accepting or Rejecting Pick Slips

Purpose: To complete Pick/Pack Verification, you must accept or reject the pick slip.

Accepting pick slips: To accept the pick slip, all items must have been scanned. Once the pick is accepted, the system generates an additional shipping label for each additional package specified.

To accept the pick, press F9 at the Pick/Pack Verification screen.

Rejecting pick slips: To reject the pick, press F11 at the Pick/Pack Verification Screen (Display Mode). The system displays the Enter Picker Errors Pop-up Window.

You must enter the error which caused you to reject the pick control. You can prompt (F4) this field to display a list of error codes.

If the problem found at the packing station requires the pick to be modified (e.g., inventory problem - not enough to fill order), the control must be voided and a new pick must be generated. See Chapter 21: Reprinting and Voiding Pick Slips (WVRP).
