Chapter 50: Submitting the Retail Fulfillment Selection (SFUL)

Purpose: Use the Submit Retail Fulfillment Selection menu option to identify items that are backordered, but that are available in one or more retail outlets. This selection is part of the retail fulfillment process, which helps you track the fulfillment of backordered items by shipping them from retail outlets.

Identifying retail outlets: You identify a retail outlet to the system by creating a warehouse through Creating and Maintaining Warehouses (WWHS) and setting the Retail type flag to S. When you run the retail fulfillment selection job, the system checks each retail outlet to determine if any of the backordered items are in stock. Retail outlets should be defined as non-allocatable and non-pickable warehouses, since you do not use them as actual warehouses for order reservation and fulfillment; they are to be used for retail fulfillment purposes only.

Note: You are responsible for entering inventory information for each of the retail outlets you would like considered in the selection process. Normally, this update is performed outside of CWDirect through an upload, or direct data entry to the Item Warehouse and Item Warehouse Location files.

How to display this screen: Enter SFUL in the Fast path field at the top of any menu, or select Submit Retail Fulfillment Selection from a menu.

You cannot advance to this screen if the retail fulfillment selection is already is process.

About this screen: Press F9 at this screen to generate the retail fulfillment selection batch job. You return to the previous screen, and the system displays a message such as the following:

Note: You should not run any other program that updates inventory (such as batch PO layering, pick slip generation, or the inventory reset) at the same time that you run this job.

Retail fulfillment selection updates: This job builds records in the Retail Fulfillment file, which will be used to complete the retail fulfillment process. The system:

Identifies each item/SKU that is backordered in a regular (non-retail outlet) warehouse. The calculation of the backorder quantity takes into account the quantity that has already been allocated for retail fulfillment (in other words, you have notified the retail outlet, and are waiting to see if the outlet will be able to ship the item for you). The system identifies this allocated quantity by checking the Retail Pick file. For example, if the backorder quantity in your regular (non-retail outlet) warehouse is 10, and there are 4 open retail picks, the new backorder quantity is 6.

In other words, the system performs the following calculation:

Backorder quantity in Item Warehouse file - Retail Pick quantity - Backorder quantity in Retail Fulfillment file

The system uses the Retail type flag to identify retail outlets, as described at the beginning of this chapter.

Determines the next delivery date for items that are on open purchase orders. The Retail Fulfillment Selection menu option indicates the expected delivery dates for any items that are on open purchase orders, to help you determine whether to fulfill from retail stock, or wait to receive the purchase order.

For example, the backorder quantity of an item is 10, and the quantity available in retail outlets is 15. If you expect to receive a purchase order for the item next week, you might choose not to allocate from retail outlets; instead, you might wait until you receive the purchase order to fulfill the backorders.

The system determines the next delivery date by checking the PO Layering file.

Determines the retail quantity. The retail quantity is the total quantity of the item/SKU available in all retail outlets. You will not be able to fulfill more than this quantity, although you might choose to allocate fewer.

For example, the backorder quantity of an item is 20, and the quantity available in retail outlets (the retail quantity) is 5. You can allocate up to 5 units for retail fulfillment; however, you might choose to sell out the backorders rather than attempt to fulfill them from retail outlets.

Determines the fill quantity. The fill quantity is the suggested quantity of an item to fulfill from retail outlets. The system sets the fill quantity to zero if there is a next delivery date, indicating a purchase order is expected. Otherwise, it sets the fill quantity to the backorder quantity or the retail quantity, whichever is lower.

For example, the backorder quantity of an item is 15, and the retail quantity is 10. The fill quantity in this case is 10, because you cannot fulfill more than 10 units from retail outlets. However, if the backorder quantity is 20 and the retail quantity is 25, the fill quantity will be 20. Each of these examples assumes that there is no expected delivery date; otherwise, the fill quantity would be zero.

Exceptions: The following types of orders and order detail lines are included in the initial backorder quantity when you submit the retail fulfillment selection. However, when you allocate the items for retail fulfillment, they will not be selected for allocation.

• partially backordered order lines (for example, the customer ordered 10, but 5 are reserved or shipped)

• items with special handling

• components of sets

• orders with more than one payment method

• suspended orders

• order lines that cannot be fulfilled completely by the retail quantity available (for example, the customer ordered 10, but only 5 are available in retail outlets)

• order lines whose order ship-to is held (however, if there is a hold at the order header level only, not the order ship-to, the order line is eligible for retail fulfillment. You might find this situation if you put the order on hold by entering a user hold reason on the order header)

• order lines priced at or below the Minimum Item Price Eligible for Retail Pick Ticket (I76)

You will not be able to fulfill any of the above types of order lines through retail fulfillment, so you will need to either fulfill them from your regular warehouse when you receive a purchase order, or sell them out.

If you void a retail pick for an item, that unit will be available for selection and allocation again the next time you work with retail fulfillment. See Chapter 52: Confirming Retail Fulfillment Selection (CFUL).

When complete: When the retail fulfillment selection batch job is complete, you can use the Retail Fulfillment Selection menu option to indicate the quantity of each item to allocate from retail outlets, and which items should be sold out. See Chapter 51: Working with Retail Fulfillment Selection (RFUL).
