Chapter 52: Confirming Retail Fulfillment Selection (CFUL)

Purpose: Use the Retail Fulfillment Confirmation menu option to confirm the shipment of backordered items from retail outlets, or to void retail picks.

You use this menu option as part of the Retail Fulfillment process, which allows you to coordinate the shipment of backordered items from retail outlets. For an overview of the retail fulfillment process, including setup, see Chapter 49: Retail Fulfillment Overview.

About retail picks: This menu option displays Retail Pick records, which are used to track each unit of an item that has been allocated for retail outlet fulfillment. See Chapter 51: Working with Retail Fulfillment Selection (RFUL), for more information on how you allocate items for retail fulfillment and build records in the Retail Pick file.

What happens when you confirm? When you confirm a retail pick, the system cancels a unit of the backordered item on the related order, using the code defined in the Cancel Reason Code for Retail Fulfillment Confirmation (G11) system control value. Additional updates are described under Confirming Shipment of a Retail Pick.

Retail Fulfillment Confirmation Screen

How to display this screen: Enter CFUL in the Fast path field at the top of any menu, or select Retail Fulfillment Confirmation from a menu.

Note: You must define the cancel reason code to use when confirming retail shipments in the Cancel Reason Code for Retail Fulfillment Confirmation (G11) system control value, or the system displays an error message when you attempt to advance to this screen.

Field

Description

Retail store

The code representing the retail outlet which is shipping the backordered item. You designate a warehouse as a retail outlet by setting the Retail type field to S. See Chapter 49: Retail Fulfillment Overview.

Warehouse codes are defined in and validated against the Warehouse file. See Warehousing Chapter 41: Creating and Maintaining Warehouses (WWHS).

Numeric, 3 positions; optional.

Order#

The order containing the backordered item that is allocated for fulfillment on the retail pick.

Numeric, 8 positions; optional.

Ln# (Line number)

The order line number that is backordered and allocated for fulfillment on the retail pick.

Numeric, 3 positions; optional.

Item

The item that is backordered and allocated for fulfillment on the retail pick.

Item codes are defined in and validated against the Item file; see Merchandising Chapter 24: Performing Initial Item Entry (MITM).

Alphanumeric, 12 positions; optional.

SKU

The item's unique characteristics, such as its color and size.

Type a complete, valid SKU and press Enter to display retail picks that match your entry.

Alphanumeric, one 14-position field (full SKU) or three 4-position fields (split SKU); optional.

Selection date

The date when the item was allocated for retail fulfillment and the retail pick was generated.

Numeric, 6 positions (MMDDYY format); optional.

Trans#

The transaction number of the confirmation. You must complete this field when you confirm the shipment of a retail pick.

Numeric, 9 positions; required when you confirm a retail pick.

Screen Option

Procedure

Confirm shipment of a retail pick

Enter 9 next to a retail pick, then complete the Transaction number field and press Enter. See Confirming Shipment of a Retail Pick.

Advance to order inquiry

Enter 10 next to a retail pick to advance to Order Inquiry Header Screen or the Order Inquiry Detail Screen for the related order, depending on the setting of the Default Version for Order Entry (A71) system control value.

Void a retail pick if the retail outlet will not be shipping the item

Enter 11 next to a retail pick to void it. See Voiding a Retail Pick.

Toggle to display of retail picks in date sequence

Press F8 to display retail picks in ascending (earliest to latest) date sequence. Press F8 again to switch back to displaying retail picks in ascending (lowest to highest) retail outlet number sequence.

Confirming Shipment of a Retail Pick

To confirm shipment of a retail pick from an outlet:

• enter 9 next to the retail pick

• enter the confirmation number of the retail pick in the Transaction number field

The system processes the following updates when you confirm shipment of a retail pick:

• cancels the unit of the item, using the reason code defined in the Cancel Reason Code for Retail Fulfillment Confirmation (G11) system control value

• deletes the retail pick record

• writes an order history message such as the following:

This message indicates the following:

• date you confirmed the retail pick

• order line number

• warehouse code that represents the retail outlet

• transaction number you entered

• unit price of the item

• user ID of the person who confirmed the pick

The system also writes an order line history message such as the following:

C Cancel 6/14/99 1- 22 EKAPLAN

In addition to indicating that the line was canceled, this message includes the following information:

• date of the confirmation (cancellation)

• quantity canceled, which will appear as 1-

• cancel reason code from the Cancel Reason Code for Retail Fulfillment Confirmation (G11) system control value

• the user ID of the person who confirmed the retail outlet shipment

Enter 24 next to an item in order inquiry to advance to the Display Order Line History Screen, where you can review order line history.

If the last retail pick for line: If you confirm the last retail pick for the order line, the system also performs the following updates:

• removes the order line from hold

• deletes the cancel date from the order line

User exit point: You can set up the user exit point RTLCONFIRM to pass information to an external program when you confirm a retail pick. You might use this user exit point as part of a process to prevent refunds being generated for retail outlet shipments. See System Operations Chapter 28: Working with User Exit Point (WUEP).

If not eligible for confirmation: The system displays a pop-up window such as the following if the order line has previously been canceled, sold out, or shipped from a regular warehouse:

Retail Pick, Transaction # 789 can not be Confirmed.

Press enter to delete record from the Retail Pick file and

update order history.

F3=Exit F12=Cancel

This window indicates that the retail pick is not eligible for confirmation. Press Enter to delete the retail pick and write an order history message such as the following:

The message indicates that you received a confirmation of retail outlet shipment for the item, even though the item was not eligible due to cancellation, sellout, or ordinary shipment.

To display order history: Press F18 in order inquiry to advance to the Display Order History Screen, where you can review order history messages.

Voiding a Retail Pick

You can void a retail pick if the retail outlet will not be able to ship the item. Enter 11 next to the retail pick to void it immediately.

Note: There is no confirmation and no way to undo the void.

Updates: When you void a retail pick, the system deletes the retail pick record. The unit will then be available for retail pick selection.

The system also writes an order history message such as the following:

The message indicates the following:

• date you voided the retail pick

• order line number

• warehouse number that represents the retail outlet

• unit price of the item

• user ID of the person who voided the pick

To display order history: Press F18 in order inquiry to advance to the Display Order History Screen, where you can review order history messages.

If the last retail pick for line: If you void the last retail pick for the order line, the system also performs the following updates:

• removes the order line from hold

• deletes the cancel date from the order line

The entire order line will then be available for retail pick selection, regular reservation, or backorder card generation.

The system does not display an error message if the item was previously canceled, sold out, or shipped through ordinary processing.
