Chapter 19: Working with Price Codes (WPCD)

Overview: Use the Work with Price Codes function to define price breaks you offer for orders of a group of items.

You use the Work with Price Codes function to define a method of repricing (percentage discount, dollar discount, or special unit price) and the item quantity required on an order to earn the repricing. You define as many price codes, each associated with a repricing method, as you want.

Next, you assign items, by either offer or source code, to price codes through Assigning Price Codes (APCD).

Typically, you might use a price code to define a repricing method for a group of items that appear together in a catalog, assigning the same price code to each item in the group.

The system reprices eligible items in Order Entry if the customer orders a sufficient quantity of items with the same price code. The repricing is visible on the Order Detail screen in Order Entry when you press F21; the system also reprices, if appropriate, when you press F9 to accept the order.

Note: The system reprices based on price code only if the Use price codes during end of order pricing field on the Pricing Values (B31) screen in the System Control file is set to Y.

You define the following price codes:

Freight, tax and duty totals are reduced appropriately as well.

You can assign more than one price code to each item/offer or item/source combination. The system will use the first applicable price code based on the sequence numbers defined for the price codes.

Repricing Guidelines

The system offers considerable latitude toward designing repricing methods that meet your business requirements. The following information may be useful if you have questions on how to use price codes:

• The system applies repricing based on the source code you enter on the order header.

• The source code must have a Price method of D.

• The system applies any discount percentage defined for the source code or in Order Entry after applying the price break defined for the price code.

• Price code repricing does not apply to manually priced items.

• The system evaluates minimum price code quantity by ship-to address.

• If more than one price code applies to the order, the system uses the price code with the lowest sequence number. If two applicable price codes have the same sequence number, the system uses the lowest price code.

Price code

This code defines a repricing method you offer to your customers when they order a sufficient quantity of items associated with this price code.

Numeric, 3 positions; optional

Seq (Sequence number)

This number controls the order in which the system should evaluate pricing for an item; if two or more price codes would apply, the system uses the price code with the lowest sequence number.

Numeric, 3 positions; display-only.

Qty req'd (Quantity required)

The total unit quantity of items assigned to this price code that the customer must order to get the price break.

Numeric, 7 positions; display-only.

Repricing methods:

Special price

The special price for qualifying items associated with the price code.

Numeric, 7 positions with a 2-place decimal; display-only

$ discount (Dollar discount)

The dollar amount to subtract from the regular item price for qualifying items associated with the price code.

% disc (Percentage discount)

The percentage to subtract from the regular item price for qualifying items associated with the price code.

Numeric, 7 positions with a 2-place decimal; display-only.

Tax incl price (Tax-inclusive price)

The special price for qualifying items associated with the price code if the order is subject to VAT. This field displays only if the Tax Included in Price (E70) field in the System Control file is set to Y.

This code defines a repricing method to apply in Order Entry when the customer orders a sufficient quantity of qualifying items.

Numeric, 3 positions.

Change screen: display-only.

Qty required

The total quantity the customer must order of all qualifying items to get the price break.

Numeric, 5 positions; required.

One of the following three repricing methods is required:

Special price

The special price to charge the customer for all qualifying items associated with the price code.

Numeric, 7 positions with a 2-place decimal; required if dollar discount and percent discount are not entered

Dollar discount

The dollar amount to subtract from the regular price of each qualifying item associated with the price code.

Numeric, 7 positions with a 2-place decimal; required if special price and percent discount are not entered.

Percent discount

The percentage of the regular item price to subtract for each qualifying item associated with the price code.

Numeric, 5 positions with a 2-place decimal; required if special price and dollar discount are not entered.

Tax inclusive price

The special price to charge the customer for all qualifying items associated with the price code on orders subject to VAT. The screen displays this field only if the Tax Included in Price (E70) field in the System Control file is set to Y.

It is not necessary to enter a tax-inclusive price if you have entered a dollar discount or a percent discount. If you have entered either of these discount methods, the system applies the discount against the regular tax-inclusive price to calculate the tax-inclusive price code price.

Note: If an order is subject to VAT, but the item is subject to a price code with a only a special price and not a Tax-inclusive price, the system uses the special price for the price code.

Sequence

This number controls the order in which the system evaluates whether a price code applies to an order. If the items qualify for two or more price codes, the system uses the price code with the lowest sequence number. If two price codes assigned to an item have the same sequence number, the system uses the lowest price code (i.e., if both price code 222 and 333 are assigned to item AB100 with a sequence number of 1, the system will use price code 222).

Numeric, 3 positions; optional.

Note: The system will not prevent you from defining a repricing method that would change the item price into a credit (that is, a discount of more than 100% the item price).

Change Price Code Screen

To change: Enter 2 next to a price code at the Work with Price Codes Screen to advance to the Change Price Code screen. You can change any information on this screen except the Price code field. For field descriptions, see Create Price Code Screen.

Display Price Code Screen

To display: Enter 5 next to a price code at the Work with Price Codes Screen to advance to the Display Price Code screen. You cannot change any fields on this screen. For field descriptions, see Create Price Code Screen.
