Working with Store Promotions (WSPR)

Purpose: Use Work with Store Promotions to create, change, copy, delete, display, and assign stores to a promotion.

Select Store Promotion Screen

Purpose: Use this screen to select the store promotion you wish to work with, or to review all existing store promotions.

How to display this screen: Enter WSPR in the Fast path field at the top of any menu, or select Work with Store Promotions from a menu.

Field

Description

Promotion #

A code that represents a promotion for a retail store(s).

If you enter a promotion number in this field, you advance to the Change Store Promotion Screen for that promotion.

The following message indicates if you enter a promotion code and an item/SKU:

You may only enter a Promotion # or Item/SKU, but not both.

Alphanumeric, 6 positions; optional.

Item

A code that represents an item associated with a promotion.

Using this field to advance to a subsequent screen in order to work with related promotions is not currently implemented.

Alphanumeric, 12 positions; optional.

Colo/styl/size

The unique attributes associated with an item, such as color, style, and size.

If you enter an item number and SKU, you advance to the Work with Store Promotions by Item Screen.

Alphanumeric, three 4-position fields; optional.

Instructions: To select a store promotion.

1. Optionally, if you know the code for the promotion you wish to work with, enter the promotion code in the Promotion number field, to advance to the Change Store Promotion Screen.

2. Optionally, if you know the item/SKU in a promotion that you wish to work with, enter the item/SKU in the Item number and SKU fields to advance to the Work with Store Promotions by Item Screen.

3. Optionally, if you wish to review all of the existing promotions or create a new promotion, leave all of the fields blank and select OK to advance to the Work with Store Promotions Screen.

Work with Store Promotions Screen

Purpose: Use this screen to create, change, copy, delete, display, and assign stores to a store promotion.

How to display this screen: Leave the Promotion number and Item/SKU fields on the Select Store Promotion Screen blank.

Promo# (Promotion number)

A code that represents a store promotion.

Alphanumeric, 6 positions; optional.

Start (Promotion start date)

The date the promotion starts for the retail store. This is the date the sale begins.

Numeric, 6 positions (MMDDYY format); optional.

End (Promotion end date)

The date the promotion ends for the retail store. This is the date the sale ends.

Numeric, 6 positions (MMDDYY format); optional.

Description

A description of the store promotion.

Alphanumeric, 40 positions; optional.

Change a store promotion

Select Change for a store promotion to advance to the Change Store Promotion Screen.

Copy a store promotion

Select Copy for a store promotion to advance to the Copy Store Promotion Window.

Delete a store promotion

Select Delete for a store promotion to delete it.

Display a store promotion

Select Display for a store promotion to advance to the Display Store Promotion Screen.You cannot change any information on this screen. See the Create Store Promotion Screen for field descriptions.

Work with the stores assigned to a store promotion

Select Store Assignment for a store promotion to advance to the Work with Store Promotion Assignment Screen.

Work with store promotion detail

Select Detail for a store promotion to advance to the Work with Store Promotion Detail Screen.

Create a store promotion

Select Create to advance to the Create Store Promotion Screen.

Create Store Promotion Screen

Purpose: Use this screen to create the header information for a store promotion, such as:

• the promotion start and end dates

• the minimum/maximum override start and end dates

• the pricing start and end dates

• the type of promotion (the promotion type defines whether the promotion is a discount promotion or a minimum/maximum promotion)

How to display this screen: Select Create on the Work with Store Promotions Screen.

Note: The Last maintained user, Date, and Time fields only display on the Change Store Promotion Screen and Display Store Promotion Screen, but are displayed here for illustration purposes.

Start date (Store promotion start date)

The day the store promotion begins.

The system uses the promotion start date to determine the minimum/maximum override start date and the pricing start date. See Understanding Store Promotions.

End date

(Store promotion end date)

The day the store promotion ends.

The system uses the promotion end date to determine the minimum/maximum override end date and the pricing end date. See Understanding Store Promotions.

Min/max start

(Min/max override start date)

The start date the system uses to determine when the store should change the minimum and maximum quantities for the items in the store promotion in order to fulfill the increase in sales because of the store promotion.

For example, if you have a promotion on school notebooks, you may want to stock more notebooks than usual because you expect an increase in sales. Instead of having a minimum of 10 notebooks and a maximum of 20 notebooks in your store, you may want to store a minimum of 40 notebooks and a maximum of 50.

The system uses the lead day number in the Store Promotion Minimum/Maximum Lead Days (G18) system control value to determine the minimum/maximum start date.

 

Example:

The promotion start date is 7/15.

The Store Promotion Minimum/Maximum Lead Days (G18) system control value is 5.

The system subtracts 5 days from the promotion start date to determine the minimum/maximum start date: 7/15 - 5 = 7/10.

In this example, 7/10 is the day the store should change the minimum and maximum quantities for the items in the store promotion in order to prepare for the increase in sales.

If you have not entered a lead day number in the Store Promotion Minimum/Maximum Lead Days (G18) system control value, the system uses the promotion start date as the minimum/maximum start date.

Min/max end (Min/max override end date)

The end date the system uses to determine when the store should change the minimum and maximum quantities for the items in the store back to the original inventory amount.

For example, if you have a promotion on school notebooks, you may want to stock more notebooks than usual because you expect an increase in sales. Instead of having a minimum of 10 notebooks and a maximum of 20, you may want to store a minimum of 40 notebooks and a maximum of 50. Once the promotion nears its end, however, you may want to change the amount of stock you keep in the store back to its original quantity since you expect the amount of sales to return to its normal amount.

The system uses the end day number in the Store Promotion Minimum/Maximum End Days (G19) system control value to determine the minimum/maximum end date.

 

Example:

The promotion end date is 7/22.

The Store Promotion Minimum/Maximum End Days (G19) system control value is 5.

The system subtracts 5 days from the promotion end date to determine the minimum/maximum end date: 7/22 - 5 = 7/17.

In this example, 7/17 is the day the store should change the minimum and maximum quantities for the items in the store promotion back to the original inventory amount.

If you have not defined an end day number in the Store Promotion Minimum/Maximum Lead Days (G18) system control value, the system uses the promotion end date as the minimum/maximum end date.

Pricing start date

The day you should begin pricing the items in the store promotion in order to prepare for the promotion.

The system updates the Pricing start date automatically using the Store promotion start date if you have defined a Store Promotion Pricing Lead Days (G16) value.

If the Store Promotion Pricing Lead Days (G16) system control value is not blank, the system uses the promotion start date as the pricing start date.

Numeric, 6 positions (MMDDYY format); display-only.

Pricing end date

The day you should stop pricing the items in the store promotion in order to prepare for the next promotion or to return the item back to its regular retail price.

The system updates the Pricing end date automatically using the Store promotion end date if you have defined a Store Promotion Pricing End Days (G17) value.

If the Store Promotion Pricing End Days (G17) system control value is blank, the system uses the promotion end date as the pricing end date.

Numeric, 6 positions (MMDDYY format); display-only.

Type (Store promotion type)

A code that represents the type of store promotion you are creating, for example, mail flyer or coupon.

Store promotion types are defined in and validated against the Store Promotion Type table. See Working with Store Promotion Types (WSPT).

Alphanumeric, 1 position; required.

Status (Store promotion status)

An informational field that you can use to generate custom reports.

Valid values are:

blank (default) = The store promotion is not assigned a status.

Omit Detail = Omit detail information when you generate a custom report.

Omit Summary-Detail = Omit summary and detail information when you generate a custom report.

Omit Summary = Omit summary information when you generate a custom report.

Optional.

Instructions: To create a store promotion.

1. Complete the necessary fields. The system calculates the minimum/maximum start and end dates and the pricing start and ends dates using the Start date and End date and the related system control values.

2. You advance to the Work with Store Promotion Assignment Screen, where you can assign stores to this promotion.

Change Store Promotion Screen

To change: Select Change for a store promotion at the Work with Store Promotions Screen to advance to the Change Store Promotion screen. At this screen you can change every field except the Promotion number, Last maintained user, Last maintained date, and Last maintained time fields.

See the Create Store Promotion Screen for a description of the fields on this screen.

Note: You can also advance to the Change Store Promotion screen by entering a valid promotion number on the Select Store Promotion Screen.

Copy Store Promotion Window

Purpose: Use this window to copy an existing store promotion to a new promotion or another existing promotion.

You can copy the following store promotion information to a new promotion or existing promotion:

• the store or stores assigned to the store promotion

• store status

• promotion start date

• promotion end date

• minimum/maximum start date

• minimum/maximum end date

• pricing start date

• pricing end date

• store type

• items assigned to store promotion

• promotion item/SKU price

• original price

• free item status

• cost

• projection quantity

• sell out flag

• feature flag

• promotion page

• promotion location

• store rank

• maximum quantity for item location

• minimum quantity for item location

How to display this window: On the Work with Store Promotions Screen, select Copy for a store promotion you wish to copy.

To start date

The day the store promotion begins for the store you are copying to.

The system defaults the start date for the store you are copying, but you can override it.

This field is required if the copy "to" promotion does not currently exist.

Numeric, 6 positions (MMDDYY format); optional.

To end date

The day the store promotion ends for the store you are copying to.

The system defaults the end date for the store you are copying, but you can override it.

This field is required if the copy "to" promotion does not currently exist.

Numeric, 6 positions (MMDDYY format); required.

Copy page #

Indicates whether you wish to copy the Promotion page number field for the copy "from" promotion to the copy "to" promotion.

Valid values are:

Selected = Copy the promotion page number for the copy “from” promotion to the copy “to” promotion.

Unselected = Do not copy the promotion page number for the copy “from” promotion to the copy “to” promotion.

Copy location

Indicates whether you wish to copy the Promotion location field for the copy "from" promotion to the copy "to" promotion.

Valid values are:

Selected = Copy the promotion location for the copy “from” promotion to the copy “to” promotion.

Unselected = Do not copy the promotion location for the copy “from” promotion to the copy “to” promotion.

Work with Store Promotion Assignment Screen

Purpose: Use this screen to work with the stores assigned to a store promotion, or to assign stores to the promotion.

How to display this screen:

• select Store Assignment for a promotion on the Work with Store Promotions Screen, or

• select OK on the Create Store Promotion Screen.

Str (Store code)

A code representing a retail store.

Region

The region where the store is located, for example, New England.

Rank

The rank assigned to the store, for example, outlet.

The day the store is expected to receive inventory for restock.

Route (Truck route)

The truck route assigned to the store.

Select Stores Screen (Creating a Store Promotion Assignment)

Purpose: Use this screen to select stores to assign to a promotion.

How to display this screen: Select Select store(s) on the Work with Store Promotion Assignment Screen.

Description

Str

A code that represents a retail store.

You can create a warehouse that represents a retail store in Creating and Maintaining Warehouses (WWHS).

Numeric, 3 positions; optional.

Description (Store description)

The name of the retail store.

Alphanumeric, 30 positions; optional.

Region

The region assigned to the retail store, for example, New England.

Store regions are defined in and validated against the Store Region table. See Working with Store Regions (WSRG).

Alphanumeric, 5 positions; optional.

Rank

The rank assigned to the retail store, for example, outlet.

Enter a valid store rank to display stores that match your entry.

Store ranks are defined in and validated against the Store Rank table. See Working with Store Ranks (WSTR).

Alphanumeric, 1 position; optional.

Day (Store restock day)

The day the store is expected to be restocked. Valid values are 1-14.

Numeric, 2 positions; optional

Route (Truck route)

The truck route assigned to the store. The truck route determines when inventory is expected at the retail store.

Numeric, 3 positions; optional.

Sts (Store status)

The status of the store.

Valid values are:

A = The store is active, for example, the store is open for business.

I = The store is inactive, for example, the store is not open for business.

Note: This field is not currently implemented.

Alphanumeric, 1 position; optional.

Instructions: To assign stores to a store promotion.

1. Select each store you wish to select, or Select All to select all stores in an active status.

2. Optionally, select Deselect for a store you wish to deselect or Deselect All to deselect all stores.

3. The system returns you to the Work with Store Promotion Assignment Screen and displays the stores you selected.

The following message indicates if you select a store that has already been assigned to the store promotion:

Store Promotion Link already exists.

Select the store you wish to select. The system displays the word “selected” next to the store.

Deselect a store

Select Deselect for the store you wish to deselect. The system removes the word “selected” from the store.

Select all stores

Select Select All. The system displays the word “selected” next to the stores that are in an active status.

Deselect all stores

Select Deselect All. The system removes the word “selected” from each store.

Work with Store Promotion Detail Screen

Purpose: Use this screen to assign items to the store promotion.

How to display this screen:

• select Detail for a store promotion on the Work with Store Promotions Screen, or

• select Exit on the Work with Store Promotion Assignment Screen.

Change a store promotion detail

Select Change for a store promotion detail to advance to the Store Promotion Detail Screen in Change Mode. At this screen you can change the Page number, Feature, Location, Sell out, Price, Free, Projected quantity, Minimum quantity, and Maximum quantity fields. See the Store Promotion Detail Screen in Create Mode for field descriptions.

Delete a store promotion detail

Select Delete for a store promotion detail to delete it.

Display a store promotion detail

Select Display for a store promotion detail to advance to the Store Promotion Detail Screen in Display Mode. You cannot change any information at this screen. See the Store Promotion Detail Screen in Create Mode for field descriptions.

Create a store promotion detail

Select Create to advance to the Store Promotion Detail Screen in Create Mode.

Store Promotion Detail Screen in Create Mode

Purpose: Use this screen in Create mode to assign an item to a store promotion.

How to display this screen: Select Create on the Work with Store Promotion Detail Screen.

Note: The Original, Actual, Variance, Cost, User, Date, and Time fields on this screen only display on the Store Promotion Detail screen in Change mode and Display mode, but are displayed here for illustration purposes.

Item

An item assigned to the store promotion.

Alphanumeric, 12 positions; required.

SKU

The unique attributes, such as color, style, or size, associated with the item.

Alphanumeric, three 4-position fields; required if the item contains SKUs.

Page (Promotion page)

An informational field that represents the page number where the item is located in the promotion.

Alphanumeric, 3 positions; optional

Feature

An informational field that indicates if the item is a feature item in the promotion.

Location

An informational field that represents the location in the retail store where this item is located.

Alphanumeric, 4 positions; optional.

Sell out

An informational field that identifies whether you wish to sell out this item.

Valid values are:

Selected = Sell this item out.

Unselected = Do not sell this item out.

Price

The price of this item in the promotion. Not displayed if the Minimum/maximum only flag for the promotion type associated with this promotion is selected.

The following message indicates if you enter a price for this item and the Free field is selected: Promotion price invalid for free item.

Numeric, 7 positions with a 2-place decimal; optional.

Original (Original price)

The price this item originally sold for in the retail store.

The system updates this field when you run the Store Promotion Cost Update periodic function (function name SPCUPDT).

Note: This field is included on this screen in Change mode and Display mode.

Numeric, 7 positions with a 2-place decimal; display-only.

Free

This field indicates whether the item is free of charge.

Valid values are:

Selected = The item is free of charge.

Unselected = The item is not free of charge and you must define a price for the item.

Proj (Projected quantity to sell)

An information field that represents the projected quantity to sell of this item in this promotion.

Numeric, 7 positions; optional.

Actual (Actual quantity sold)

The quantity sold in the retail store.

Note: This field is included on this screen in Change mode and Display mode.

Numeric, 7 positions; display-only

Variance (Variance units)

The variance in units between the projected quantity sold and the actual quantity sold.

The system uses the following calculation to determine the variance units:

actual quantity sold - projected quantity = variance quantity.

Cost

The cost of this item.

The system updates this field when you run the Store Promotion Cost Update periodic function (function name SPCUPDT).

User

The ID of the last user to perform maintenance on this store promotion detail.

Note: This field is included on this screen in Change mode and Display mode.

Alphanumeric, 10 positions; display-only.

Date

(Date last update): The date this store promotion detail was last updated.

Note: This field is included on this screen in Change mode and Display mode.

Numeric, 6 positions (MMDDYY format); display-only.

Time (Time last update)

The time this store promotion detail was last updated.

Note: This field is included on this screen in Change mode and Display mode.

Numeric, 6 positions (HHMMSS format); display-only.

Rank

A code that represents the rank assigned to the store or stores associated with this promotion.

You can define a minimum quantity and maximum quantity for each rank. The system uses the minimum and maximum quantities for the rank associated with the store to determine how much inventory is needed to restock the item for the promotion.

Min qty (Store promotion minimum quantity)

The minimum quantity of this item to keep in retail store's associated with this store rank.

Description

The description of the store rank.

Purpose: Use this screen to change or display item information for a retail store assigned to the store promotion.

How to display this screen: Enter an item/SKU in the Item and SKU fields on the Select Store Promotion Screen.

Select Change for a store promotion to advance to the Store Promotion Detail Screen in Change Mode. At this screen you can change the Page number, Feature, Location, Sell out, Price, Free, Projected quantity, Minimum quantity, and Maximum quantity fields. Display a store promotion detail

Select Display for a store promotion to advance to the Store Promotion Detail Screen in Display Mode. You cannot change any information at this screen. See the Store Promotion Detail Screen in Create Mode for field descriptions.
