New Reservations - Reservation Flow

Select Reservations > New Reservation to begin entering a new reservation. Depending on the way your property has configured the Reservations feature, the sequence of screens presented to you (the "reservation flow") may vary.

Reservation flow is set using the Reservation > Reservation Flow application setting. These settings (described below) give your property options on the approach taken to make a new reservation. Regardless of the reservation flow your property chooses, the Reservations > Profile Search Prior to New Reservation application parameter determines whether you must search for and select the guest profile (or create a new profile) before you can proceed with making the reservation.

Reservation Flow Options

The Reservation Flow options available with the Reservation Flow application setting are described below. Use the See Also links if you need additional information on any of the screens discussed here.

Calendar/Grid

  1. Select Reservations > New Reservation from the main menu. The Property Calendar screen appears.
  2. From the Property Calendar select the start date for the stay, hold down the Alt key and select the departure date for the stay. Select OK. At the prompt, select the number of persons for the reservation. Next, the Rate Query screen opens.
  3. From the Rate Query screen, choose the rate and room type for the reservation, then select OK. The Reservation screen appears showing the information you have selected so far. Complete making the reservation from the Reservation screen.

Or, you can take an alternative approach:

  1. Select Reservations > New Reservation from the main menu. The Property Calendar screen appears.
  2. From the Property Calendar double click on an arrival date to display the Detailed Availability screen. This screen shows availability by room type, starting on the date you selected.
  3. From the Detailed Availability screen select a room type and arrival date for the new reservation.
  4. Select the Room Plan or Blocks button depending on whether you want to create a stand-alone reservation or a reservation associated with a business block.
    • If you select the Room Plan button, the Room Plan screen appears. From the Room Plan screen select the stay dates and room for the reservation. Select the New button. At the prompt, select the number of persons for the reservation. Next, the Rate Query Details screen opens. From the Rate Query screen, choose the rate and room type, then select OK. The Reservation screen appears showing the information you have selected so far. Complete making the reservation from the Reservation screen.
    • If you select the Blocks button, the Blocks screen appears. This screen shows all business blocks that include the reservation start date you selected. Choose an existing business block to attach the new reservation to, or create a new business block.

Calendar

  1. Select Reservations > New Reservation from the main menu. The Property Calendar screen appears.
  2. From the Property Calendar select the start date for the stay, hold down the Alt key and select the departure date for the stay. Select OK. The Reservation screen appears showing the information you have selected so far. Complete making the reservation from the Reservation screen.

Or, you can take an alternatave approach:

  1. Select Reservations > New Reservation from the main menu. The Property Calendar screen appears.
  2. From the Property Calendar double click on an arrival date to display the Detailed Availability screen. This screen shows availability by room type, starting on the date you selected.
  3. From the Detailed Availability screen select a room type and arrival date for the new reservation.
  4. Select the Room Plan or Blocks button depending on whether you want to create a stand-alone reservation or a reservation associated with a business block.
    • If you select the Room Plan button, the Room Plan screen appears. From the Room Plan screen select the dates of the stay dates and room for the reservation. Select the New button to open the Reservation screen showing the information you have selected so far. Complete making the reservation from the Reservation screen.
    • If you select the Blocks button, the Blocks screen appears. This screen shows all business blocks that include the reservation start date you selected. Choose an existing business block to attach the new reservation to, or create a new business block.

Rate Query

  1. Select Reservations > New Reservation from the main menu. The Rate Query screen appears. Enter the search criteria for your new reservation and select OK. The Rate Query Details screen appears.
  2. From the Rate Query Details screen, choose the rate and room type for the new reservation, then select OK. The Reservation screen appears showing the information you have selected so far. Complete making the reservation from the Reservation screen.

Room Plan/Grid

  1. Select Reservations > New Reservation from the main menu. The Room Plan screen appears.
  2. From the Room Plan screen, select the stay dates and room for the reservation. Select the OK button. At the prompt, select the number of persons for the reservation. Next, the Rate Query Details screen opens.
  3. From the Rate Query Details screen, choose the rate and room type, then select OK. The Reservation screen appears showing the information you have selected so far. Complete making the reservation from the Reservation screen.

Direct

Select Reservations > New Reservation from the main menu. The Reservation screen displays. Continue making the reservation from the Reservation screen.

Membership Type Selection

When a guest has membership types associated with his profile, OPERA allows you to select how you want the membership number to be attached to guest's reservations (that is, whether you want the membership to be automatically attached to the guest's reservations, or whether you want to be prompted to attach the membership to the guest's reservations). In addition, you can determine at what points in OPERA you want this action to be taken (e.g., when the reservation is created, whenever the reservation is updated, at check in, and/or at check out). (See Membership Type Setup and Maintenance for details.) If Membership action is specified for new reservations, you may be prompted to choose the membership type that is to be attached to the reservation.

When the Membership > Preferred Card application parameter is set to Y, and the Front Desk > Preferred Membership Selection application parameter is set to Y, one loyalty membership type can be flagged as preferred for points accrual. If two or more memberships exist on the guest profile, you can configure the Membership Type Setup screen's Membership Action features so that the user is prompted to choose the preferred membership for points accrual at the designated junctures in OPERA (e.g., when a new reservation is created, at check in and/or check out). Once selected, this membership is the one that will be accounted for points calculation for the stay record when the guest checks out.
