Overview of Employee Transfers for the US

You have multiple options when it comes to transferring people.

Add assignment

Add Assignment task

Adds an assignment to the selected person.

  1. Creates an additional assignment

  2. Leaves the work relationship, primary assignment, and any other assignments unchanged

By default, the new assignment is not the primary.

End assignment

End Assignment

Ends a single employee's assignment.

  • You can't change the assignment's primary indicator value.

  • When ending the primary assignment, if there is only one nonprimary assignment in the work relationship, the action automatically changes that nonprimary assignment to primary.

  • If there are more than one nonprimary assignment, you can't end the primary assignment.

    You must set one of the nonprimary assignments as primary before ending the primary assignment.

Single person transfer

Transfer

Transfers the person without changing their legal employer.

  1. Updates the person's primary assignment

  2. Leaves the work relationship and any other assignments unchanged

The assignment number and ID remain the same.

Note: Because the legal employer doesn't change, the payroll details remain the same.

Single person local transfer

Local and Global Transfer

Transfers the person without changing their legal employer.

This performs the same actions as the standalone Transfer guided process.

Note: Because the legal employer doesn't change, the payroll details remain the same. If you select Payroll Details as part of the transfer, you must select a new legal employer. This changes the transfer type to global.

Single person global transfer

Local and Global Transfer

Transfers the person to a different legal employer.

  1. Creates a work relationship and assignment under the new legal employer

  2. Terminates the existing work relationship and all assignments date-effective as of the day prior to the transfer date

  3. Sets the last standard earnings and last standard process dates

  4. Terminates the original assignment

  5. Depending on the payroll relationship rules, it might create an assignment under a different payroll relationship

Single person global temporary assignment

Local and Global Transfer

Temporarily transfers the person to a different legal employer.

  • Suspends only the current assignment, and doesn't end the current payroll relationship

  • Doesn't create the work relationship and primary assignment within the new legal employer

    You must ensure both are defined before you run the process.

  • Sets the status of the assignments in the original work relationship to Suspended-Payroll Eligible

End a global temporary assignment

Local and Global Transfer

  1. Ends a temporary assignment.

  2. Reinstates the assignments on the original legal employer.

Multiple person global transfer

Mass Legal Employer Change

Changes the legal employer of multiple workers in a single batch.

  • Transfers multiple employees from different legal employers to the same destination legal employer

  • Ends the current work relationships for the employees, and creates relationships within the destination legal employer

  • Creates primary assignments, and ends the original ones

    The new primary assignments have all the data from the original records by default, but you can change this.

    You can override some assignment attributes from the source assignment that are common and apply to the set of workers transferring to new legal employers.

  • When changing multiple legal employers across legislations, the process doesn't copy the data for salary and payroll

    Some personal data may also not be copied if the destination doesn't support it.

Multiple person transfer, local and global

HCM Data Loader (HDL)

Effects the transfers by using HDL files to directly change the employees' info.

Requires special HDL files.
