Working with Tasks

A task is a delegated activity that a user needs to perform, such as submitting or approving content. Tasks are used as part of the Distributed Content Collaboration or Campaign Approvals features. Learn more about Distributed Content Collaboration or Campaign Approvals.

When a task is assigned to you, you will receive an email notification which includes a link to your task list. You can also access your active and completed tasks by clicking The Tasks icon My Tasks on the global navigation bar.

Submitting content for approval

With Distributed Content Collaboration, you can submit content for approval using your task list.

To submit content:

  1. Click The Tasks icon My Tasks in the global navigation bar.
  2. Click Submit content for the task you want to work with.
  3. Do one of the following:
    • To edit a text region, select the region you want and click Edit, make your changes, then click Done.

      Tip: Words that are misspelled in the text editor are underlined in red. Right-click on a misspelled word to see suggestions for correct spelling or to use the Add to dictionary option. Depending on the locale that is set for the browser, the spell check will use the corresponding dictionary of that language to check the spelling.

    • To edit an image region, select the region you want and click Replace, select an available image or upload one, then click Done.

      Tip: When replacing an image in the Replace Content dialog, you can click on any image under Available Content to enlarge it.

  4. Optionally, click Revert at any time to discard your changes and revert to the original content.
  5. Optionally, click to preview the campaign with your changes.
  6. Click Submit.

After you finish, you can use the Completed Tasks tab to review tasks that you've completed over the last 30 days.

Approving content

With Distributed Content Collaboration, you can approve or reject content that appears in your task list.

To approve content:

  1. Click The Tasks icon My Tasks in the global navigation bar.
  2. Review the content assigned to you.
  3. Click Approve or Reject.
  4. Optionally, add comments about your choice.
  5. Click Submit.

After you finish, you can use the Completed Tasks tab to review tasks that you've completed over the last 30 days.

To see who submitted the content for approval and when it was submitted:

Note: The content or campaign needs to be approved or rejected before you can see who submitted it and when.

  1. Click The Tasks iconMy Tasks in the global navigation bar.
  2. Click the Completed Tasks tab.
  3. Click on campaign content that has been approved.

    The Approve Content dialog opens displaying the date the content was submitted for approval and by who it was submitted.

Scheduling content

If you have the Express Email Campaign Manager role, you can schedule a campaign launch from the My Tasks page.

To schedule a campaign launch:

  1. In the Active Tasks tab, click on the An image of the Schedule icon on the My Tasks page Schedule icon.
  2. Schedule the date and time of launch.

    Note: The launch time will be based on the timezone displayed beside the Enter time text box.

  3. Click Submit.

Configure Targeting

If you have the Express Email Campaign Manager role, you can configure your Targeting or select Filters for an email campaign with Distributed Content Collaboration.

To configure Targeting:

  1. Click The Tasks iconMy Tasks in the global navigation bar.
  2. Under Active Tasks, click An image of the Audiences icon under Active Tasks Configure Targeting.

    The Targeting selection dialog opens.

  3. Click Select.
  4. Select an audience to target and click OK.

To select a Filter:

  1. Click The Tasks iconMy Tasks in the global navigation bar.
  2. Under Active Tasks, click An image of the Audiences icon under Active Tasks Configure Targeting.

    The Targeting selection dialog opens.

  3. Click Select.
  4. Click Select Filters and select a single Filter or you can select multiple.

    Tip: To select multiple filters, hold down the Shift key and select your filters.

  5. Click OK.

Send Proof & Approve

To initiate a proof message:

  1. Click The Tasks iconMy Tasks in the global navigation bar.
  2. Under Active Tasks, click Send Proof & Approve.

    The Send Proof & Approve dialog opens.

  3. Click Send Proof Message.

    The recipients in the proof list mapped to the organizational units for which the process is launched will receive the proof message.

  4. Review the proof message from your email inbox.

    Note: Your email address must be in the proof list indicated in the Send Proof & Approve dialog for you to receive the proof in your inbox.

To approve or reject a proof message:

  1. Click The Tasks iconMy Tasks in the global navigation bar.
  2. Under Active Tasks, click Send Proof & Approve.

    The Send Proof & Approve dialog opens.

  3. Under Review proof message, click Accept Proof or Reject Proof.

    If you reject the proof, you have the option to include a Reason for rejection.
