Real-Time Record Import Support for Custom Import Workflows

Set up real-time custom imports for cost centers and rate cards.

The Real-Time Record Import feature now supports custom import workflows importing NetSuite custom record types OpenAir: Cost Center and OpenAir: Project Rate Card into OpenAir as cost center or rate card records.

To enable real-time record import for cost centers and rate cards:

  1. In NetSuite, update the NetSuite OpenAir SRP Real-time Add-on (Bundle ID 369630) bundle to the latest available version.

  2. Deploy the OpenAir: Send Record to OpenAir v2.0 for the OpenAir: Project Rate Card and OpenAir: Cost Center custom record types.

Automated Real-Time Record Import Certificate and Certificate Rotation

Stay on top of your real-time import credentials with automated certificate rotation and health check.

After you upgrade the Real-Time Record Import feature to use certificate-based authentication instead of the SuiteSignOn feature, OpenAir uses certificates to validate real-time record import requests. Certificates are valid for a finite period. After the initial set up, OpenAir NetSuite Connector generates a new certificate and saves it to NetSuite and OpenAir automatically one to two weeks before the previous certificate expires.

You can use the OpenAir NetSuite Connector Health Check feature to verify whether there is a valid real-time record import certificate in your account, and when the current certificate expires if valid. See OpenAir NetSuite Connector Health Check.

You can trigger the certificate generation and rotation from the contextual tips menu at any time.

To generate a new certificate for real-time record imports:

  1. In OpenAir, go to Administration > NetSuite Connector.

  2. Click the Tips button then click Generate new real-time import certificate. OpenAir NetSuite Connector generates a new certificate, uploads it in the custcertificate_oa_realtime certificate record in NetSuite, and saves it in OpenAir after it is successfully uploaded in NetSuite.

Changes to Custom Export Workflows

Include custom CRM field for NetSuite resource allocation records in your field mapping definitions when using a custom export workflow to export bookings from OpenAir to NetSuite as resource allocations.

A current limitation in NetSuite web services communication endpoint does not allow OpenAir NetSuite Connector to list the custom CRM field for NetSuite resource allocation records automatically for mapping.

When you create a custom export workflow exporting OpenAir records to NetSuite as resource allocation records, only the standard fields for NetSuite resource allocation records, and the custom CRM field holding the internal ID of the matching OpenAir record [_oa_resource_allocation_id] are available for mapping by default.

To make other custom CRM field for resource allocation records available for mapping:

  1. In OpenAir, go to Administration > NetSuite Connector.

  2. Click the Tips button then NetSuite Connector administration.

  3. Enter the list of custom CRM field IDs in the NetSuite custom fields for resource allocation records in field mapping for custom export box, separated by commas. The setting is under the Other Features section of the form.

  4. Click Save.

  5. Click Close.

  6. Click the Tips button, then Synchronize NetSuite custom fields.
