Leave Accrual Balance and Transactions

The Leave Accrual feature lets:

To enable this feature, go to Administration > Application Settings > Timesheets > Other settings and check the Enable the leave accrual feature box. See Other Settings.

Leave accruals provide a method of tracking and maintaining employees' time off within OpenAir. Time can be accrued or earned as a specific type of time off which may then be drawn down when taken or used by the employee. You can enter leave accrual transactions manually or set up OpenAir to calculate time-off entitlement and draw-downs automatically for employees using leave accrual rules. See Leave Accrual Rules.

Although manual leave accrual transactions are allowed, the key to a successful implementation of the Leave Accrual feature is the setting up of rules, which are then applied to employees. The rules control the accrual amounts and draw-down specifics depending on the rule setup for Time Type, Service, Project, or Task. However, you may need to modify leave accrual transactions if the transactions was created against the wrong leave accrual rule because of an incorrect leave accrual set up, for example. You may also need to create a leave accrual transaction manually to adjust the leave accrual balance.

To create a leave accrual transaction:

  1. Go to Timesheets > Leave accrual > All transactions.

  2. Select New transaction from the Create Button.

  3. Choose the transaction Type, either Accrual or Draw-down.

  4. Enter the Date and Hours for the transaction.

  5. Select the Employee for which this leave accrual transaction applies and the Leave accrual rule. If you have not previously created rules, see Leave Accrual Rules.

  6. Add Notes as desired.

  7. Click Save.
