Filtering Segments by Class, Department, Location, or Subsidiary

You can filter segments using standard fields that are available on a record, including the Class, Department, Location, and Subsidiary (available in OneWorld accounts) fields. However, it is not always possible to filter a segment using these fields. Custom records do not have these standard fields. Therefore, if you apply a custom segment to any custom record type or custom segment (on the Application & Sourcing subtab), you cannot filter the custom segment values using these fields. If you try to combine applying a custom segment to a custom field or custom segment with filtering by one of these fields, you will receive an error message like the ones described in Filtering Examples Filtering Examples.

Record Types that Support Filtering by Class, Department, Location, and Subsidiary

The following record types support Class, Department, Location, and Subsidiary filtering:

  • Transaction types

  • Transaction line types

  • Entities

  • Items

  • Some other record types, specifically:

    • Allocation Schedule Destination Line

    • Allocation Schedule Source Line

    • Budget Import

Record Types that Do Not Support Filtering by Class, Department, Location, and Subsidiary

The following record types do not support Class, Department, Location, and Subsidiary filtering:

Filtering Examples

The following sections provide examples of what happens if you try to combine applying a custom segment to a custom field or custom segment with filtering by Class, Department, Location, or Subsidiary.

Select Filters and then Apply Segment to an Unsupported Record

In this scenario, you select Class, Department, Location, or Subsidiary in the Filter by field. You can select multiple filters. Then you try to apply the segment on an unsupported record.

You receive the following message:

“You have chosen a record type that is invalid for one of the selections in the Filtered By list. Click OK to remove the Filtered By selection or click Cancel to undo your last action.”

You can respond with the following options:

  • OK – The segment is applied on the unsupported record. The Filter by field is modified, and any previous selections of Class, Department, Location, and Subsidiary are removed.

  • Cancel – The segment is not applied on the unsupported record. The Filter by field remains unchanged, and any previous selections of Class, Department, Location, and Subsidiary remain selected.

Apply Segment to an Unsupported Record and then Select Filters

In this scenario, you first apply a segment on a record type that does not support Class, Department, Location, and Subsidiary filtering. Then you try to select one of these unsupported filters in the Filter by field.

You receive the following message:

“You have chosen to filter by a classification that is invalid for one or more of the record types selected on the Application & Sourcing subtab. Click OK to remove the incompatible record types, or click Cancel to undo your last action.”

You can respond with the following options:

  • OK – All applications to record types that do not support the selected value in the Filter by field are removed. The Filter by field remains unchanged, and any previous selections of Class, Department, Location, and Subsidiary remain selected.

  • Cancel – The segment is applied on the unsupported record. The Filter by field is modified, and any previous selections of Class, Department, Location, and Subsidiary are removed.
