Bill Payment Options

When you submit a bill payment for processing, the payment method is determined and applied by BILL. The payment method available to a vendor depends on whether the vendor is connected to the BILL network, as shown in the following table:

Important:

Payments should be submitted to BILL before 6 pm Pacific Time (UTC – 8) to be processed the same day. Payments submitted after 6 pm Pacific Time (UTC – 8) are processed by BILL the next business day, according to their payment schedules.

Regular ACH

This payment method is available to vendors both connected and not connected to the BILL network.

For ACH payments, the vendor record needs to have a verified bank account. If there are no bank details updated in the vendor record, payments are processed through checks.

For vendors not connected to the BILL network, there is a verification process when you add or modify a vendor bank account. BILL takes two business days to verify the added/modified bank details. Any payments made during this time are disbursed as a check payment.

Note:

BILL has a separate payment limit for regular ACH payments. Usually, payments submitted through regular ACH are capped at one million USD.

  • Processing time of three business days.

  • BILL initiates the funding request on the same day payments are received.

  • Payments should be less than one million USD and submitted to BILL before 6 pm Pacific Time (UTC – 8).

  • BILL waits for two business days for the funding amount to clear and for any ACH return or clawback request.

  • After 12:35 pm Pacific Time (UTC – 8) on the third business day, all payments start to be credited to the vendor's bank account

  • On the fourth business day, the payment shows as Cleared in your bank account.

Checks

This payment method is available to all vendors, regardless if they are connected to the BILL network.

For check payments, the vendor must have a valid default billing address updated in the vendor record. All the check payments are sent to the default billing address updated in the vendor record.

Important:

If you update the default billing address during a payment, the check is still sent to the address set as default before payment creation.

Check payments are issued if the vendor's bank account fails verification or if there are bank details updated in the vendor record.

When checks are printed it includes the payment voucher with list of the bills that were paid. Checks are delivered through USPS using standard delivery.

Tip:

The check numbers are auto-generated. You don't need to worry about manually entering a check number.

  • Processing time of five business days

  • Payments should be submitted before 6 pm Pacific Time (UTC – 8).

  • BILL initiates the funding request on the same day payments are received.

  • Checks are printed and sent to USPS on the next business day after 1 pm Pacific Time (UTC – 8).

  • Checks are printed without checking if the payment amount has cleared the funding account.

  • The checks are expected to be delivered by the fifth business day, based on USPS standard time frame.

  • BILL marks the payment delivered on the fifth business day, regardless of whether the check was delivered or not.

    Note:

    This is based on their historical estimates on check deliveries.

  • Checks are considered stale or expired after 90 days from the date they were printed – the second business day of payment submission.

Wallet

This payment method is available only to vendors connected to the BILL network and those that use other BILL services.

  • Payments submitted before 6 pm Pacific Time (UTC – 8) are processed to the vendor's Wallet immediately.

  • BILL initiates the funding request on the same day payments are received.

Virtual Card (VCARD)

This payment method is available only to vendors connected to the BILL network. Vendors who accept VCARDs typically have their default payment mode set to VCARD.

BILL provides several methods for delivering VCARD details to vendors. The most used method is email.

The following lists other features of the VCARD:

  • This is a prefunded virtual card model, so no credit underwriting is required. On the process date, BILL debits your bank account as with other payment methods.

  • Each virtual card is created for the full amount of your bill or payable. However, the vendor may choose to process less than the full amount. If this happens, the payment status updates to reflect partial processing. Vendors can process charges on the card until its expiration date. Any unused funds remaining on the card at expiration will be voided and returned to you.

  • Virtual cards expire 20 days after they are issued.

  • Payments submitted before 6 pm Pacific Time (UTC – 8) are processed and the VCARD is sent on the third business day.

  • BILL initiates the funding request on the same day payments are received.

  • VCARDs are generated on the second business day.

Mastercard Remote Payment and Presentment Service (RPPS)

This payment method is available only to vendors identified as a national vendor within the BILL network.

  • BILL initiates the funding request on the same day payments are received.

  • Payments submitted before 6 pm Pacific Time (UTC – 8) are processed and the payment is cleared on the fourth business day.
