Payments to Submit

The Payments to Submit page of the Payment Dashboard displays payments that are ready to be submitted to BILL. This includes payments that do not require approval and payments approved through a payment approval workflow.

Before you can submit payments to BILL for processing, you need to verify your identity for all the bank accounts linked with BILL. See User Verification for more information.

After you complete user verification with BILL, you can submit the payments to BILL for processing.

For locked or closed accounting periods, you can set up roles to enable bill payment creation and submission. See Setting Up Intelligent Payment Automation for Closed Accounting Periods.

To submit payments to BILL:

  1. Go to Payment Automation > Payment Dashboard > View.

  2. If you use OneWorld:

    1. The Subsidiary Dashboard opens. Click Enabled.

    2. In the Actions column, click View to open the Payment Dashboard for the selected subsidiary.

    If you do not use OneWorld, the Payment Dashboard opens directly.

  3. In the left panel, under Payment Processing, click Payments to Submit.

  4. Click Submit Payments.

    The payments are submitted for processing to BILL.

Only one user can submit payments to BILL at a time. It may take some time for the payments to be sent to BILL. If another user tries to submit payments at the same time, an error message is displayed to them.

After the payments are submitted successfully, you receive an email confirming that the payment is being processed. The email contains the estimated date by which these payments are processed to the vendor and the date when the funds.

After the payment is submitted to BILL for processing, ensure that there are enough funds available in the bank accounts from which the payments have been made. Also, ensure that there are no blocks in the bank accounts from which the payments are to be debited. This ensures that payments are processed to your vendors on time and your BILL account remains active.

If enough funds are not available for processing, the payments fail. You can submit the transactions for failed payments in a new payment run.

Important Things to Note Before Submitting Payments

Before you submit payments, take note of the following:

  • Check the payment details before submitting the payments to BILL for processing. You can't edit payments after they are submitted to BILL.

  • Payments should be submitted to BILL before 6 pm Pacific Time (UTC - 8) to be processed the same day. Payments submitted after 6 pm Pacific Time (UTC - 8) are processed by BILL the next business day, according to their payment schedules.

  • NetSuite doesn't allow scheduling bill payments for weekends and federal holidays. Make sure you set your payment date to a business day.

  • When you submit payments to bill, and there is no trusted session with BILL, you will be asked to complete Multi-Factor Authentication (MFA). See Generating MFA for more information.

  • When you submit future-dated payments, these payments are submitted to BILL in advance and will be processed automatically on the specified date.

  • For future-dated payments the Earliest Funding Date and Estimated Payment Dates fields are left blank on the Payments to Submit page.

  • If the total payment amount processed for your organization in the last 3 days exceeds $150,000. Any new payment with a faster delivery option you create may fail unless BILL has approved a higher limit for your organization.

Payment Submission Validation for Closed Accounting Periods

When you submit payments, NetSuite validates the posting period for each payment. A payment can be submitted if its posting period is open, or if its posting period is closed and the Allow Non-G/L Changes box is checked for that period.

If the accounting period is closed and the Allow Non-G/L Changes box is not checked, the payment is not submitted to BILL. The payment remains on the Payments to Submit page and is marked as ineligible.

On the Payments to Submit page, point to the error icon in the Posting Period column for the ineligible payment to view why the payment can't be submitted.

To submit the payment, reopen the accounting period or check the Allow Non-G/L Changes box for the period, and then submit the payment again. To update the period, go to Setup > Accounting > Manage G/L > Manage Accounting Periods, and then click the period name. Faster Payment Options

The Payments to Submit page shows a faster payments banner when at least one payment is eligible for a faster delivery option.

Use the banner to review submission deadlines for eligible ACH and check payments. Faster payments may include extra processing fees.

On the Payments to Submit page:

  • The Payment Delivery Option column shows the delivery option selected for each payment.

  • Payments with faster delivery options appear at the top of the list.

  • The Earliest Funding Date and Earliest Payment Date columns are blank for faster payments.

  • Payments created through payment runs use the regular delivery option.

  • When you submit payments, NetSuite submits faster payments before regular payments.
