If you are responsible for HR or finance tasks, here are a few steps and best practices to help you set up employees and ensure they get paid properly.

These are:

Creating Employee Records in WFM

You can create new employee records in WFM under Setup > Employees > List > New.

When setting up an employee, the required fields are:

  • First name

  • Last name

  • Primary Location

You should also add an email address so they can receive login details and published shifts.

Assigning Employees to Locations

To assign a location to an employee, go to Setup > Employees > List. Click the ID next to the employee you want to assign a location to. On the employee profile, click the Locations tab. Make sure the Primary Location is correct as well as the location assigned under the Can work at field if the employees is allowed to work at multiple locations.

Setting Correct Wages

To assign a wage to an employee, go to Setup > Employees > List. Click the ID next to the employee you want to set a wage. On the employee profile, click the Wages tab.

You will see one line of wage history which should show as a $0 hourly figure. This is the default wage which is automatically set on all employees and needs to be configured.

You can edit this wage and set their correct salary, hourly rate or wage agreement in WFM.

Setting Job Roles

On the employee profile page, click the Jobs tab. Click New job and select any jobs the employee is eligible. For example, you may have a "Training" job that all new hires are required to be assigned to. Click Save.

Setting Availability

Employees are able to log into the system and set their availability.

Alternatively, you can set their availability so they appear available in the schedules they are able to work.

Setting Access Group

The access group can be set during the steps in the new employee creation wizard. If that was not set, or the employee record was imported, or has moved to a higher access level, you can change the access group.
