Logging an Expense with NetSuite for Mobile

Expenses are the basic elements from which you create expense reports. They can include an image of the physical receipt and accompanying description of what the expense relates to. You can attach up to four attachments to an expense enabling you to organize multiple items under a single category. For example, parking tickets, taxi fares, or evening meals. With NetSuite for Android you can also attach multiple page invoices in PDF format, such as hotel bills or flight tickets.

Important:

When you log an expense, NetSuite stores it locally on your device. Make sure you submit these expenses with an expense report as often possible. Expenses that have not been submitted with an expense report are not available if you log in from another device. Locally stored expense are also lost if you lose, or reset your device, or if you reset the app. See Expense Features.

You can log expenses in different ways. See the following:

To log an expense from within NetSuite for Mobile:

  1. Do one of the following:

    • From the login screen, tap Expenses.

    • From My Dashboard, on the My Expenses portlet, tap Add Expense.

  2. Complete the required fields.

  3. (Optional) Capture a new image of a bill or receipt for the expense:

    • For iOS, tap the Camera icon Screenshot of the NetSuite for iOS Camera icon, and then tap Capture using Camera.

    • For Android, tap Take a Photo. To rotate the photo:

      1. Tap the thumbnail, and then tap Open.

      2. Tap the Rotate icon NetSuite for Android Rotate icon.

      3. To delete the photo, tap the Discard icon NetSuite for Android Discard icon.

      4. To confirm the rotation and return to the Expense screen, tap the Back icon Screenshot of the NetSuite for Android Back icon.

  4. (Optional) Attach an existing file to the expense:

    • For iOS, tap the Camera icon, and then tap Choose existing from Gallery.

      Note:

      NetSuite for iOS supports JPG, PNG, TIFF, and HEIF formats.

    • For Android, tap Pick a File.

      Note:

      NetSuite for Android supports PDF, JPG, and PNG formats.

  5. Repeat step 3 or 4 to attach additional files.

    Note:

    You can add up to four attachments to an expense.

  6. To save the expense:

    • For iOS, tap Done.

    • For Android, tap the Tick icon Screenshot of the NetSuite for Android Tick icon.

To log an expense from the Photos or Files app:

  1. For Android:

    1. Go to your Photos app or Files app, select an image of your receipt, tap Share, and then tap NetSuite.

    2. Under Expense Details, enter an Amount, Category, and Memo.

    3. Tap Save.

      Note:

      You can upload up to 4 images for each expense report.

      Note:

      PDF file size is limited to 8MB.

  2. For iOS:

    1. Go to your Photos app or Files app, select an image of your receipt, tap Share, and then tap NetSuite.

    2. Under Expense Details, enter an Amount, Category, and Memo.

    3. Tap Done.

    4. For iOS, be aware of:

      • When sharing an image from Safari, you must open the image in its own page to share it to NetSuite.

      • When sharing a PDF file from Safari, you must open the file in its own page to share it to NetSuite.

      • PDF file size is limited to 8MB.
