Unified Learning Catalog Administration and Access Control

Simplify your learning catalog administration using a new unified catalog listing page. The page also supports controlling administrator access to the learning catalog using catalog administration profiles. Use the new Learning Catalog task on the My Client Groups > Learning and Development page. When the page is enabled, it replaces the separate Courses, Specializations, Offerings, and Self-Paced Learning tasks.

Simplified administrator access controlled with catalog administration profiles

This feature changes how the courses, specializations, and offerings administration tasks are secured. After you switch to the single learning catalog listing, all existing courses, offerings and specializations are visible on the Learning Catalog page. Existing data security conditions for these data policies don't apply after this feature is enabled:

  • View Catalog Learning Items by Administrator
  • Manage Catalog Learning Courses
  • Manage Catalog Learning Offerings
  • Manage Catalog Learning Specializations

You have nothing to consider before enabling this feature if administrators have unlimited access to courses, offerings, or specializations using these data security policies, and if administrators can manage all learning in the learning catalog.  

But, if you do currently limit administrator access to a subset of courses, offerings, or specializations, you can now simplify that configuration using catalog administration profiles. Here's what you need to do:

  1. Create catalog administration profiles that define who can manage catalog items for each profile. These will replace security roles used before for the same purpose.  You should create a catalog administration profile for each security role you have.
  2. Update your courses, offerings, and specializations to associating them with the applicable profile. For bulk updates, you can use HCM Data Loader CourseV3, OfferingV3, and SpecializationV3 business objects.

Tips And Considerations

  • Existing saved searches on the Self-Paced Learning page won't exist after you enable this feature. They'll need to be re-created on the Learning Catalog page.
  • The Copy and Feature options are now also available on the classic course, offering, specialization details pages, even if you don't enable this feature.
  • If you disabled the default catalog administration profile, we recommended that you make the Catalog Administration Profile field required on the classic course, offering, and specialization create and edit pages. Use Page Composer.
  • On the unified Learning Catalog page, these columns won't have a value for courses, offerings, or specializations.  Support for these learning types will be added in an upcoming release:
    • Where used count
    • Used in specializations count
    • Used in topics count
    • Used in communities count
    • Active assignment count
    • Completed assignment count
    • Rating count
    • Visibility
  • On the unified Learning Catalog page, the visibility filter only filters self-paced learning, not courses, offerings, or specializations.  Support will be added to filter these learning types in an upcoming release.
