Change Working Hours with AI Assistance
The Change Working Hours Advisor Agent is a conversational assistant designed to help managers and HR specialists update an employee’s assignment working hours through a guided, efficient, and policy-aware interaction. Instead of performing multiple manual steps across different UI pages, the agent retrieves the employee’s current working hours, derives the standard working hours, calculates the FTE, and prepares the proposed changes in a single conversational flow.
The agent works in the context of a single employee. Users can specify the employee and the effective date for the change. The agent always processes one employee at a time to ensure clarity and accuracy.
When the user provides new working hours, the agent validates the requested change against the organization’s policies using the document tool. It highlights which rules are met and which rules are not met, such as seniority-based requirements, job-level restrictions, frequency limits, and numerical thresholds. This clarity helps managers and HR specialists make better and well-informed decisions, while still allowing them to proceed if justified.
The agent also creates the assignment notes automatically. These notes reflect the requested change and provide a ready-to-use explanation for HR or audit purposes. Users may keep the generated notes or edit them before submitting the change.
The Change Working Hours Advisor Agent complements the full UI by offering a fast and intuitive way to make updates, while the UI remains available for detailed adjustments. Once the user submits the change, the update follows the approval workflow configured in the application.
The agent prevents submission if another change in working hours is already in progress for the same employee. This avoids duplicate requests and improves transaction accuracy.
