Schedule Microsoft Teams Web Conference from Sales

Sellers can now schedule Microsoft Teams meetings from within Redwood Sales. Creating a meeting of type Web Conference in Sales immediately schedules a calendar entry in both Microsoft Teams and Outlook, capturing the Teams meeting logistics in the description. Rescheduling a meeting from sales also automatically updates the changes to the meeting in Teams and Outlook. As per previously released functionality, Teams meetings created in Teams or Outlook get synced to Sales via the Microsoft 365 Outlook integration.

At the time of the meeting, when users start the meetings from Sales they can capture the meeting notes and outcome. They can also add any meeting attendees not in Sales at any time during or after the meeting. For completed meetings, the recording and transcript if enabled during the call are automatically made available within Sales, allowing sellers to stay organized and keep track of key customer conversations—all in one place.

Sellers can manage Microsoft Teams meetings end-to-end within Redwood Sales, saving time and reducing context switching. With recordings and transcripts captured automatically, customer interactions are easier to track and follow-ups become more accurate.

You don't need to do anything to enable this feature.

Tips And Considerations

  1. Pre-requisites to use this feature:
    1. Microsoft Teams Integration is required. See Microsoft Teams Integration for Web Conferencing to get started.
    2. Microsoft Exchange 365 Integration is required for meetings scheduled in Teams or outlook to be available in Sales. See Overview of Enabling the Microsoft 365 Integration to get started.
      • Under Sync Configuration settings, ensure that Bidirectional Sync of appointments is enabled. See Appointment Sync Settings for more details.
  2. For scheduled Microsoft Teams meetings of type Web Conference, while users can update the agenda, reschedule, or cancel an appointment from Sales, they cannot change the meeting type from Web Conference to another type.
  3. Users cannot create a Web Conference meeting for a past date and time or update an existing web conference meeting in Sales to a past date and time.
  4. For completed meetings, recording and/or transcript are synced only if enabled in Microsoft Teams during the call, and Include meeting transcripts and recordings option is enabled when scheduling the Sync job below.
    1. Sync occurs periodically based on the scheduled Synchronize Web Conference Data process, so recording and transcript may take some time to appear in Sales. See Schedule the Web Conferencing Process to know more.
    2. The recording is synced as a Microsoft 365 link (SharePoint or OneDrive), and the transcript is synced as a text document file. MS Teams recording links remain available as long as the file is retained at the source.
