Manage Microsoft 365

You must configure several settings that let the Microsoft 365 Sales for Outlook add-in run smoothly, such as sync options, default saved search, conflict resolution, and record sync limits.

Important: Oracle recommends that you use the Redwood User Experience (UX) version of the Microsoft Outlook add in, not the previous version. See Overview of Microsoft 365 for Redwood UX for more information.

Navigate to the Manage Microsoft 365 Page

Note: It's assumed you have already done the steps in the Enable Microsoft 365 Integration topic, before you begin to manage the application.

Here's how to get to the Manage Microsoft 365 page, where you set the options:

  1. Sign in as a setup user or as the sales administrator.
  2. Navigate to:
    • Offering: Sales
    • Functional Area: Integrations
    • Task: Manage Microsoft 365
  3. You can find the settings in the Manage Microsoft 365 page.

Options You Can Set

Note: It's assumed you've already read the topic, Synchronize Data Between CX Sales and Microsoft 365.

This table describes the contacts, appointments, and tasks sync settings.

Settings Area Setting Name Description
Conflict Resolution Default Conflict Resolution
  • CX Server Wins: The records in the Sales application overwrite the records in Microsoft 365.
  • Outlook Client Wins: The records in Microsoft 365 overwrite the records in the Sales application.
  • User Selected: Users can select at runtime the way to resolve conflicts.

Allow User to Override Default Conflict Resolution Lets users view the conflict resolution options in the add-in and select the option they want.
Usage Tracking Enable Add-in Usage Tracking Lets you track the usage of the Microsoft 365 add-in by your users. See Microsoft 365 Monitor.
Synchronization Settings Enable Application Permission This setting enables standard sync to gain access to all the mailboxes so that users don't have to frequently sign in into the add-in.

Enable Dynamic Batching for Sync This setting auto-enables the sync engine to determine the optimized batch size for sync, based on the Oracle server capacity. This improves performance.
Allow Users to Select Default Saved Search Selecting this check box causes the default saved search defined in the Microsoft 365 Designer as the saved search for all the users. Custom saved searches specified by users in the add-in are ignored. See Sync Records Between the Sales Application and Microsoft 365 Outlook for details about the end user experience.
Synchronization Tracking This setting lets you monitor the sync statistics and displays the details in the Microsoft 365 Monitor. See Microsoft 365 Monitor for more details.
Include Attachments in Sync This setting lets the sync engine share attachments on emails or appointments with Sales.
Attachment Size Limit The maximum size limit is 10 MB. You can configure according to your business needs. Files larger than the size you configured here won't be shared with Sales.

Contacts Enable Sync This is a primary setting to indicate you want to sync contacts. If this setting is disabled, other settings in this section are disabled, too.
Allow Sync to Create CX Contacts When a user shares new contacts from Outlook, new contact records are created in the sales application. See Share Email and Meetings for details about the end user experience.
Allow Sync to Delete CX Contacts This setting means that when a user removes a contact in Outlook, the corresponding contact records are removed in Sales.
Limit Enter the number of records to be synced in every run of the sync process.
Appointments Enable Sync This is a primary setting to indicate you want to sync appointments. If this setting is disabled, other settings in this section are disabled, too.
Enable Bidirectional Sync If set to a yes value, appointments are synced between Sales and Outlook. If you deselect it, the sync engine only syncs appointments from Outlook to Sales and not from Sales to Outlook. To learn more, see the One-Way Synchronization for Appointments topic.

Allow Sync to Create CX Appointments If set to a yes value, this setting means that when a user shares meetings from Outlook, appointment records are created in Sales.
Allow Sync to Delete CX Appointments If set to a yes value, when a user removes a meeting or an appointment from Outlook, the corresponding appointment record is removed from Sales.
Autocapture Appointments If set to a yes value, appointments are automatically synced without the need for the users to tag the appointments as Shared with Oracle. See Autocapture Appointments to learn more.
Capture Appointments with Empty Invitee List This setting is available only when Auto-capture Appointments is selected. Select this setting to sync those appointments that don't have any invitees. Usually, salespeople create such appointments to block some time on their calendars to complete priority tasks.
Include Private Appointments Users' private appointments are synced during the auto-sync of appointments.
Allow Invitees to Share Appoinments Allows salespeople to share the meetings they were invited to.
Limit Enter the number of records to be synced in every run of the sync process.
Tasks Enable Sync This is a primary setting to indicate you want to sync tasks. If this setting is disabled, other settings in this section are disabled too.
Allow Sync to Create CX Tasks When a user shares emails from Outlook, emails are saved as tasks in the sales application.
Allow Sync to Delete CX Tasks When a user deletes an email from Outlook, the corresponding task is removed from the sales application.
Include Private Tasks from Outlook Syncs the private tasks in Outlook with the sales application.
Limit Enter the number of records to be synced in every run of the sync process.
End User License Agreement Details Agreement Acceptance Shows the user who has accepted the terms and conditions mentioned in the end user license agreement.

Also shows the date and time when the user has accepted the agreement.
