Supplier Solicitation: Process Steps
In terms of process, here are the major steps for supplier solicitation:
- Campaign Management
- Create Campaign action: A campaign owner can perform the Create Campaign action on items or trading partner items to request details from the partner. You can also add an item or trading partner item to a campaign using the Add to Campaign action or using the Add Items to Campaign process within Process Management.
- When soliciting for classification data, the Product Classification Type is required.
- When soliciting for trade agreement qualification data, the Trade Agreement and the Product Classification Type are required.
- Campaign Manager: You can use campaign and campaign line manager to manage a campaign. You must provide a contact for each partner on all the relevant campaign lines.
- Send Notification: You can perform this action to notify one or all the partners involved in the campaign that a campaign exists and that they have campaign lines to review.
- Campaign Monitoring: Once a campaign is created and notification is sent to the user, the campaign owner such as the campaign administrator can monitor the campaign and its lines for a partner response. The campaign administrator must review the partner’s response to campaign lines including documents, and manually decline or approve the lines provided by the partner. The campaign administrator can perform the Respond to Partner Submission action to seek more details from a partner. For this, a campaign administrator must add some notes while performing the action. The actions a campaign administrator can trigger on campaign lines are:
- Decline Campaign Line: This action enables the user to decline a campaign line if the information is not sufficient or does not meet the requirements.
- Respond to Partner Submission: This action enables the user to request more details from a partner.
- Approve Campaign (Line): This action enables the user to set the status of the campaign line to APPROVED and copies data from the campaign line to item, item origin, and/or item qualification depending on your configuration.
- Create Campaign action: A campaign owner can perform the Create Campaign action on items or trading partner items to request details from the partner. You can also add an item or trading partner item to a campaign using the Add to Campaign action or using the Add Items to Campaign process within Process Management.
- Supplier Response: A partner logs on to the SERVPROV domain to perform the following actions:
- Respond to Campaign Line: Provide the requested details along with the required document for all the submitted campaign lines.
- Download Document Template: A partner can download a document template for the standard documents marked on the campaign line. The partner can update the document with the required details and add the scanned copy of the document again to the campaign line.
- Add Document: A partner can upload additional documents/add document links to existing documents for multiple campaign lines.
- Generate Document: A partner can generate a document for a campaign lines. In addition, the partner can upload a consolidated document against multiple campaign lines.
Note: If you want to determine if your trading partner item is eligible for a trade agreement prior to creating a campaign, you can trigger the Tariff Eligibility Screening action from the item. This action displays applicable trade programs based on the country of origin in the associated item origin and the importing country entered on the action. Once you select a trade program, GTM creates an item qualification record and sets the status to ELIGIBLE. If you choose, you can then perform supplier solicitation for your eligible items.
