Creating a Communication Storage

Introduction

Communication Storage helps you assemble digital asset in HTML, TEXT, PDF, or CSV format. This can be passed through the Communication Distribution Storage for distribution to your preferred supplier, where where the downstream systems can perform their workflows. Communication Storage enables you to assemble Assets through Communication Package containing Documents, and Metadata used for storage related distribution..

Prerequisites

Following are the prerequisites to consider before creating a Communication Storage configuration.

Note:

Ensure that you complete the prerequisite before proceeding.
Prerequisites Details
Set the Config ID Config ID must be Active.

Ensure that all dependent configurations and associations are part of the same open Config ID.

See Creating Config ID for more details.
Configure Entitlements Ensure that you have the required entitlements to create a Communication Storage.
Create Marketing Company configuration Ensure that you have created the Marketing Company configuration that needs to be associated to the Communication Storage configuration. See Creating Marketing Company for more details.
Create User Defined Data Structure and Field configuration Ensure that you have created User Defined Data Structure and Field that you want to associate to the Communication Storage configuration. See Creating a Structure and Creating a Field for more details.
Create Asset Package configuration Ensure that you have created Asset Package, containing Documents in PDF, HTML, or CSV format that needs to be associated to the Communication Storage Version. See Creating a Package for more details.

Steps involved in creating a Communication Storage

The Communication Storage configuration helps in grouping multiple Communication Storage Versions. Every version has a different Active Date set during the configuration creation process. It determines when each version will be activated. Creating a Communication Storage in Communication Cloud Service involves the following steps:
  1. Creating a Communication Storage and Associating Brand Marketing Company
  2. Creating a Version
  3. Associating Packages
  4. Creating a Storage Metadata

Creating a Communication Storage and Associating Brand Marketing Company

To create a Communication Storage, follow these steps:
  1. Access the Oracle Financial Services Cloud application.
  2. From Menu, select Communication.
  3. Under Communication, select Distribution and then select Communication Storage.
  4. On the Communication Storage landing page, select Create.
  5. In Basic Information section, enter the Name, Long Name and Description (optional), to identify the Communication Storage.
  6. In Brand (Marketing Company) section, select Add Marketing Company and then select the Marketing Company that you want to associate to the Communication Storage.

    Note:

    You can associate only one Marketing Company per Communication Storage configuration.
  7. (Optional) In User Defined Data Structure section, select Add User Defined Data Structure and then select the User Defined Data Structure that you want to associate to Storage configuration. This User Defined Data Structure defines the list of Fields to be used for configuration and available while generating the Storage assets.
  8. In Status section, Active Date is set to the current date when the Communication Storage is created. You can modify it to a future date, if required.
  9. Select Continue to create a Communication Storage Version.

Creating a Version

Versions allow the creation of multiple iterations of a Communication Storage. The Active Date helps to control when each version of the Communication Storage becomes effective. While a Communication Storage can have several versions, at least one version must be created for a Communication Storage configuration to be saved.

To create the Communication Storage Version, follow these steps:

  1. In Basic Information section, enter the Name and Description (optional), to identify the Communication Storage Version.
  2. In Status section, Active Date is set to the current date when the Communication Storage Version is created. You can modify it to a future date.
  3. Select Save to save the changes and continue with association, or select Continue to save the details and continue creating Storage Metadata.

Associating Packages

After saving the Communication Storage Version details, you can associate the Package along with the Function as PDF or TEXT or HTML, or CSV that will allow to generate the communication in the selected rendering type.

To add Communication Storage Version Association, follow these steps:

  1. In Update Communication Storage Version page, under Associations, select Add next to Package.
  2. Select the Asset Package that you want to associate.
  3. Select Save to save the changes, or Continue to save the details and continue creating Storage Metadata.

Creating a Storage Metadata

In Storage Metadata, you can associate the additional metadata for the storage and define the metadata type.

To create a storage metadata, follow these steps:

  1. On Update Communication Storage Metadata page, in Metadata Properties section, follow these steps:
    1. Select Type and select the metadata type.
    2. Select Data Type and select the type to define the data.
    3. Select Subject Source and add the following value:
      Subject Source Value
      User Defined Data Select Add User Defined Data Field and then select the User Defined Data Field that you want to associate to the Storage Metadata.
      Static Enter the static value directly in the Static Value field.
  2. In Basic Information section, enter Name, Lang Name, Description (Optional), to identify the Communication Storage Metadata.
  3. In Status section, Active Date is set to the current date when the Communication Storage Metadata is created. You can modify it to a future date.
  4. Select Save to save the details or select Save & Exit to save the details and return to the landing page.

Maintaining a Communication Storage Configuration

Introduction

You can update or delete a Communication Storage configuration to meet changing business needs. When you replace or add new associations, ensure that those configurations belong to the same Config ID that you used to create the Communication Storage configuration. 

If the initial Config ID used for creating a Communication Storage Configuration is closed, and if you want to edit the Communication Storage configuration, see Editing a Configuration after Closing the Config ID.

You can update the following Communication Storage configuration information: 
  • Editing a Communication Storage Configuration: Update the basic information and Active Date or replace the Marketing Company if the Config ID is open.  
  • Editing a Communication Storage Version: Update the basic information of the Version and Active Date, remove Associations, or duplicate an existing Version.
  • Editing Communication Storage Metadata: Update Metadata Properties, Basic Information, and Active Date of the Communication Storage Metadata.
  • Deleting Communication Storage Metadata: Delete a Metadata that you are no longer using, if the Config ID is open.
  • Deleting a Communication Storage Version: Delete a Version that you are no longer using, if the Config ID is open.  
  • Deleting a Communication Storage Configuration: Delete a Communication Storage configuration that you are no longer using, if the Config ID is open.  

Editing a Communication Storage Configuration

You can edit the basic information, Active Date, or replace Marketing Company of Communication Storage configuration.

Perform the following steps:
  1. Access the Oracle Financial Services Cloud application.
  2. From Menu, select Communication.
  3. Under Communication, select Distribution, and then select Communication Storage. This redirects you to the Communication Storage landing page.
  4. To edit the Communication Storage configuration, follow either one of these options from the Communication Storage landing page:
    1. From More Menu in Action column of the respective Communication Storage configuration, select Edit.  
    2. From the Name column, select the required Communication Storage configuration to view its Summary page. Then from the Summary page, select Edit.

      This redirects you to the Update Communication Storage page.

  5. On Update Communication Storage page, modify the basic information and Active Date as required.
  6. To replace Marketing Company, under Brand (Marketing Company) section, from More Menu in Action column, select Replace. Select a different Marketing Company belonging to the same Config ID.
  7. Under User Defined Data Structure section, select More Menu in Action column, and then select Remove to remove the User Defined Data Structure or select Replace to replace the User Defined Data Structure and select a different User defined Data Structure belonging to the same Config ID.

Editing a Communication Storage Version

You can modify the Version of the Communication Storage configuration. You can duplicate the existing version to create another one.

Perform the following steps:
  1. From the left pane of Update Communication Storage page, navigate to the Version and modify the basic information and Active Date, if required.
  2. To remove the Associations, select Expand All under Associations section. Select the More Menu under Action column of the respective associations and then select Remove.
  3. Select Duplicate to Create New Version from Actions on the top right corner, to duplicate the existing version under the same Communication Storage configuration. You need to provide the required information and Active Date of the new version. The Description and Associations for the new Version will be duplicated from the previous Version.

Editing Communication Storage Metadata

You can edit the Metadata Properties, basic information, and Active Date, of Communication Storage Metadata.

  1. From the left pane of Update Communication Storage page, navigate to the Metadata and modify the basic information and Active Date, if required.
  2. Update Type, Data Type, and Subject Source, if required.

Deleting Communication Storage Metadata

You can delete the Metadata if you are no longer using it. Ensure that the Config ID which was used to create the Metadata, is open.

  1. Access the Oracle Financial Services Cloud application.
  2. From Menu, select Communication and then select Distribution.
  3. Under Distribution, select Communication Storage. This redirects you to the Communication Storage landing page.
  4. Follow either one of these options from the Communication Storage landing page:
    1. From More Menu in Action column of the respective Communication Storage configuration, select Edit.
    2. Select the Name of the respective Communication Storage configuration. This redirects you to the summary page of the configuration. Select Edit.
  5. On Update Communication Storage Metadata page, navigate to the Storage Metadata from the left pane.
  6. Select Action from the top right corner, and then select Delete.

Deleting Communication Storage Version

To delete the Communication Storage Version, it must not be associated to any other configurations. If the Communication Storage configuration has only one version and if you delete that version, then the corresponding Communication Storage configuration also gets deleted.

Perform the following steps:

  1. Access the Oracle Financial Services Cloud application.
  2. From Menu, select Communication and then select Distribution.
  3. Under Distribution, select Communication Storage. This redirects you to the Communication Storage landing page.
  4. Follow either one of these options from the Communication Storage landing page:
    1. From More Menu in Action column of the respective Communication Storage configuration, select Edit.
    2. Select the Name of the respective Communication Storage configuration. This redirects you to the summary page of the configuration. Select Edit.
  5. From the left pane, navigate to the Version you want to delete.  
  6. If there are any associations, remove the association. 
    1. Under Associations section, Select Expand All.  
    2. Under Action column, select Remove corresponding to the association.  
    3. Repeat the step to remove all the associations before deleting the Version.
  7. On Update Communication Storage Version page, from Actions from the top right corner, select Delete.  
  8. In the dialog box, select Delete to confirm. 

Deleting a Communication Storage configuration

You can delete a Communication Storage configuration if it is no longer required. It must not be associated to any other configuration, and all its Version configurations should have been deleted. Before deleting the configuration, you must ensure that the initial Config ID used for the configuration creation is open.

Perform the following steps:
  1. Access the Oracle Financial Services Cloud application.  
  2. From Menu, select Communication and then select Distribution.   
  3. Under Distribution, select Communication Storage. This redirects you to the Communication Storage landing page.  
  4. To delete the Communication Storage configuration, follow either one of these options from the Communication Storage landing page: 
    1. From More Menu in Action column of the respective Communication Storage configuration, select Delete. In the dialog box, select Delete to confirm.  
    2. From More Menu in Action column of the respective Communication Storage configuration, select Edit. This redirects you to the Update Communication Storage page. From Actions on the top right corner, select Delete. In the dialog box, select Delete to confirm.
