Managing Master and Sub Blocks

Prerequisites for Master and Sub Blocks

Master Blocks and Sub Blocks have a variety of uses.
  • You can split sleeping rooms of one group across different properties within a hub using a master and sub block booking structure.
  • You could use sub blocks when a room type has different rate amounts for different quantities of rooms (Example: 10 King rooms at the staff rate of $99.00 and 100 king rooms at convention rate of $200.00).
  • This icon depicts a master block Indicates a master block.

  • This icon depicts a sub block Indicates a sub block.

  • Click Calculate on a master block to see Room and Revenue details for all of the sub blocks.

When the Synchronize Master Sub Blocks OPERA Control is active, the Synchronize check box is selected by default when creating a Master Block.

When the Synchronize check box is selected, and a change is made to a master block, the following sub block details are updated automatically and cannot be modified independently.
When the Synchronize check box is selected and a change is made to a master block, the following sub block details are updated automatically and can be modified.
When the Synchronize check box is unchecked on the master block, the check box is disabled on the sub blocks, and the status of master and sub blocks are managed independently. When updating the status of a master block, you are prompted to select whether to apply to the status change to one or more sub blocks. See Creating Master and Sub Blocks

Note:

Room Grid (allocation) and Catering Events cannot be associated to a Master Block.

Master / Sub Block tab

The Master/Sub Block tab on the Block Presentation screen provides the following details:

Master Block
  1. Master Block icon This icon depicts a master block. You can hover your mouse over the icon to view a description.

  2. Block Name: The block name.

  3. Block ID: The block ID.

  4. Block Code: The block code.

  5. Block Dates: The dates for the block.

  6. Property: The property for the master block.

  7. Room Status: The current room status (appears when the Catering Events OPERA Control is active and the Use Single Block Status OPERA Control is set to No).

  8. Catering Status: The current catering status (appears when the Catering Events OPERA Control is active and the Use Single Block Status OPERA Control is set to No).

  9. Block Status: The current status of the block.

  10. Total Room Nights Booked: The total number of nights booked from all of the sub blocks.

  11. Total Room Nights Picked Up: The total number of nights picked up from all of the sub blocks.

Sub Blocks

Sort By: Click to select a sort order for the sub block listed.
  1. Property. This icon depicts a sub block. The property for the sub block.

  2. Mode: Displays an icon to indicate a sub block. You can hover your mouse over the icon to view a description.

  3. Block Code: The sub-block code. Select the link to manage the sub block. For more information, see: Managing Blocks

  4. Start and End Dates: The start and end dates for the sub block or sub allocation.

  5. Block Name: The block name.

  6. Block Status: The current status of the block.

  7. Catering Status: The current catering status (appears when the OPERA Cloud Sales and Event Management Standard Cloud Service subscription is active and Catering Events is active in OPERA Controls).

  8. Room Nights Booked: Displays the number of room nights booked for the specific sub block or sub allocation.

  9. Room Nights Picked Up: Displays the number of room nights picked up for the specific sub block or sub allocation.

    Note:

    From a property location, the Total Room Nights Booked and Total Room Nights Picked Up values are calculated based on all sub blocks in the hub, however, only the sub blocks created for the property appear in the sub-block listing.

Creating Master Blocks

Master blocks are indicated by this icon: This icon depicts a master block.

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Click I Want To . . .and select (Create) Master Block.

  3. Complete the details for the master block. For more information, see: Creating a Block

  4. After saving the master block, an initial sub block is auto-created.

  5. Click Save or click Save and Go to Presentation to view the Master Block. For more information, see: Managing Blocks

  6. Select the Master/Sub Block tab in Block Presentation to view the sub block.

  7. You can now allocate rooms and set up catering events.

Creating Sub Block

Sub blocks are indicated by this icon: This icon depicts a sub block

Note:

If one or more sub blocks have at least one event, you can search for a Master Block ID from Manage Events to view all sub blocks events. You can also view all events by clicking Manage Events link on the master block.
  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria for the master block and click Search.

  3. Select the master block in the search result, click I Want To . . . , and select (Create) Sub Block.

  4. On the sub block page, enter the following details:

    1. Property. Enter or select the property.

    2. Block Name. Enter the name of the sub-block.

    3. Start Date. Enter the sub block start (arrival) date.

    4. Night. Enter the number of nights.

    5. End Date. Enter the sub block end (departure) date.

    6. Block Code. Enter a block code. Click Get Default Block Code to generate a block code.

  5. Click Save or click Save and Go to Presentation to view the sub block.

Converting Regular Blocks to Master Blocks

Note:

Leads and Opportunities, cancelled/lost or past-date blocks cannot be converted to Master/Sub Blocks.
  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, click I Want To... then select Convert to Master Block.

Converting Sub Blocks to Regular Blocks

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, click I Want To... then select Convert to Master Block.

    Note:

    If the Master Block has only one Sub Block, then the Master Block is also converted to a regular block. Sub Blocks that are cancelled, lost or past-date cannot be converted to regular blocks.

Copying Master Blocks

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, click I Want To... then select Convert to Master Block.

  4. Complete the following on the Copy Block page:

    1. Start Date: Enter an arrival date for the new block.

    2. End Date: Enter an departure date for the new block.

    3. Block Code: Enter a block code.

      1. Click Get Default Block Code to generate the block code.

    4. Include Booking Note: Select the check box to copy block notes to the new block.

    5. Keep Same Group Profile: Select check box to link a new block to the same group profile.

    6. Adjust Decision and Follow-up Dates: Select check box to adjust the decision and follow-up dates for the new block by the same number of days before or after the New Start Date as applied to the source block. The value of the new dependent dates will not be less than the current business date. If no date was specified for any of these fields on the source block, the field remains null (empty) on the new block. If this check box is not selected, the dependent dates from the source block are copied to the new block.

    7. Room Block: Select check box to copy room block allocation to the new block. If the source block has a room allocation set up, this option will be selected by default. 

    8. Grid Type: Select a grid type from the list to copy.

    9. Contract Grid: Select to copy the contract grid to the new block. .

    10. Events and Space: Select the check box to copy events and function space allocation to the new block. 

      1. Include Event Notes: Select check box to copy event notes to the new events.

        1. Include Change Notes: Select check box to copy event change notes to the new events

      2. Other Event Resources: Select the check box to copy the menu and item resources to the new block. Available when events are set up on the source block:

        1. Resource Prices: Select the check box to copy the price and discount percentage from the source event resources to the new events

        2. Include Resource Notes: Select the check box to copy resource notes to the new events. 

    11. Keep Same Number of Attendees: Select the check box to copy the same number of attendees to the new business block. All of the new events will be copied with the same number of attendees as the source events. If not selected, enter the number of attendees.

    12. Number of Attendees: Enter a number of attendees.

    13. Sub Blocks Details:  This section will list the linked sub blocks that will be copied.

      1. Block Code: Enter a block code

    14. Click Copy Block.

Note:

When copying a master block, a maximum of 10 sub blocks are copied. 

Copying Sub Blocks

You can copy a sub block as a regular block or as a sub block for the existing master block. The sub block can also be copied to another property from a  hub location.

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, click I Want To... then select Convert to Master Block.

  4. Complete the following on the Copy Block page for the new block:

  5. Copy to Property: Select the check box to copy the block to another property.

    1. Property: Enter or select the property from the list.

  6. Copy Options: Select the radio button to copy as a Sub Block or Regular Block.

  7. (New Block) Start Date: Enter an arrival date for the block.  This field will be populated and disabled for editing when copying to a Master Block where the Synchronize check box is selected.

  8. (New Block) End Date: Enter a departure date for the block. This field will be populated and disabled for editing when copying to a Master Block where the Synchronize check box is selected.

  9. Copy Date Range From: Enter a date from within the Start and End dates of the source block to limit copy range.

  10. Copy Date Range To: Enter a date from within the Start and End dates of the source block to limit copy range.

  11. (New Block) Block Code: Enter a block code.

    1. Click Get Default Block Code to generate the block code.

  12. Include Booking Note: Select the check box to copy block notes to the new block.

  13. Keep Same Group Profile: Select the check box to link the new block to the same group profile.

  14. Adjust Decision and Follow-up Dates: Select the check box to adjust the decision and follow-up dates for the new block by the same number of days before or after the New Start Date as applied to the source block. The value of the new dependent dates will not be less than the current business date. If no date was specified for any of these fields on the source block, the field remains null (empty) on the new block. If this check box is not selected, the dependent dates from the source block is copied to the new block.

  15. Market Code: Select a market code from the list. Available when copying to another property.

  16. Source Code: Select a source code from the list. Available when copying to another property.

  17. Click Copy Block.

  18. Click Go to the New Block to manage the new block for the destination property. For more information, see, Managing Blocks.

Managing Non-synchronized Master and Sub Block Status

When changing the Room Status or Catering Status of a master block, you are prompted to select whether to apply the status change to one or more sub blocks. If the sub block status change results in inventory being oversold at the room type, room class, or house level, and you have the applicable overbooking tasks granted to your role, you are prompted to over book the inventory. You can select to over book, and the status change is applied to the master and selected sub blocks. If you select Cancel, the status of the master and selected sub blocks remains unchanged.

You can use the Edit option to change the Start DateNights, End Date for the master block when the room and event inventory fall within the new dates. 

When the Sales Allowance OPERA Control is active, you are prompted to over book the allowance if the inventory requested exceeds the available rooms in the allowance and if your role is granted the  Overbook Sales Allowance task.

When updating the Catering Status of a sub block, an availability check is performed and the associated events are updated.

  • If there is a conflict with one or more events, and the Event Waitlist OPERA Control is inactive, the status change is not applied to the master and selected sub blocks.

  • If there is a conflict with one or more events, and the Event Waitlist OPERA Control is active, then the master and selected sub blocks are updated, and the event where there is a conflict is wait listed.

You can manage the status of sub block across multiple properties from a  hub location.

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, click I Want To... then select Convert to Master Block.

  4. Select one of the following options:

    1. Rooms: Update the status for accommodation rooms allocated to the block.

    2. Catering (Events): Update the status for Events linked to the Block.

  5. Status: Select a status from the options available. The statuses available are based on the block status flow configured at your property. For more information, see Managing Block Status.

  6. Click Save to update the Master Block or click Save and Apply to Sub Blocks to update status on selected sub blocks.

    1. Select the sub blocks to update.

    2. Click Save.
