Dispense a replacement kit (for lost, damaged, or not dispensed kits)

Replace a kit if it was dispensed in the system but never given to the subject, or if it was lost or damaged.

Note:

The steps for replacing a dispensed device managed through Oracle mHealth Connector are different. If you want to replace a device that was already dispensed to a subject, see how to replace a device.

WARNING:

If the subject needs a replacement kit, always replace the kit before making any update to the kit status. Once the status of a dispensed kit is updated to either Misallocated or Not Dispensed to Subject, the system won't allow the dispensation of a replacement kit later for that subject.
  1. From the Home page, access the study in a specific mode. For more information to determine where to work, see Access study modes and pages.
  2. Locate the subject for which you need to dispense a replacement kit.

    Tip:

    • If you have access to multiple sites in the study, select a site from the Site drop-down in the upper-right.
    • To filter your view of subjects, enter some or part of the subject number in the Search field in the upper right above the table of subjects, and press Enter.
  3. Select the checkbox to the left of the subject.
  4. On the right in Subject History, select the Menu icon (Menu) next to the kit to replace.
  5. From the drop-down, select Replace.
  6. On the Replace Kits dialog, select the kits that were lost, damaged, or not dispensed for subject:

    Note:

    For non-serialized kits: Select a lot, and enter the quantity of non-serialized kits you would like to replace. Also, consider the following:
    • Be aware that all non-serialized inventory is grouped together. Instead of individual kit numbers, non-serialized kits display in the user interface (UI) as lot numbers followed by the quantity.
    • Because non-serialized kits can arrive at different date and times, the Date Received column on the Site Inventory page does not include any data and appears blank for all non-serialized inventory.
  7. Select a reason for the replacement, and select Replace Kits.
    • Select Damaged if the kit was dispensed but got damaged. This automatically updates the kit status as Damaged by Subject.
    • Select Lost if the kit was dispensed but lost by the subject. This automatically updates the kit status as Lost by Subject.
    • Select Not Dispensed to Subject if the kit was never physically dispensed to the subject. This automatically updates the kit status as Not Dispensed to Subject.
When you Replace a kit, a new kit is allocated to the subject for dispensation. You may need to confirm dispensation.
  • When marking a kit as Damaged or Lost, you can view both the original and the replacement kits associated with the subject's dispensation history, for the visit in which dispensation initially occurred.
  • When you mark a kit as Not Dispensed, the original kit is no longer associated with the subject.
