Lock multiple subjects and visits at once

You can lock multiple subjects or visits at once to prevent data changes.

Consider the following before locking subjects and visits at the same time:
  • If you queue a subject for locking, you cannot queue specific visits in their schedule to be locked until the subject locking action has completed. If you queue a subject's visits for locking, you cannot queue the subject for locking until the visit locking action has completed.
  • If a subject or visit is partially locked, choosing Lock updates only the necessary data to match the selected state for the entire subject or visit.
  • When you select multiple subjects or visits, the Actions menu offers Lock and Unlock options. Subjects that don't require the selected action are skipped.

Tip:

You can always select a single subject or a single visit of a subject to lock its data, as well.
You must be assigned the Lock Subject Data Entered at a Site permission to lock multiple subjects or visits at the same time on the Data Management view.
  1. Determine in which mode you need to work. For step-by-step instructions, see Access your study in a specific mode.
  2. Along the top, make sure Subjects is selected.
  3. In the upper-right corner of the page, select the Data Management view.
  4. If needed, filter or search for specific subjects or visits to lock. For more information, see Navigate the Data Management view.
  5. If you want to lock multiple subjects at the same time, do the following:
    1. On the Data Management view, select all of the subjects you want to lock.
    2. Select Actions and then select Lock.
    3. On the Lock Data dialog, select Lock to proceed.
  6. If you want to lock multiple visits of the same subject, do the following:
    1. On the Data Management view, search for the specific subject whose visits you want to lock.
    2. On the Subject ID column, select the subject's number (ID).
      The subject's visits appear in the table, as well as their corresponding statuses and dates.
    3. Select the visits whose data you want to lock or unlock.
    4. Select Actions and then select Lock.
    5. On the Lock Data dialog, select Lock to proceed.

If the locking of multiple subjects or visits is successful, you see a notification on the screen indicating that the locking is successful. If locking of a subject or visit fails, any previously locked data, as well as any previously locked subjects or visits remain locked. The application attempts three more times to lock those specific subjects or visits. Until the locking action is complete, you may not see the expected Locked icon Lock next to them.

After locking them, no other user can edit the data of those subjects or visits until they're unlocked. Upon accessing a subject's visit, all answer fields are read-only, and the same Lock icon Lock is displayed next to each question in forms.
