How do I send the authorization email to an SSO study user?

The authorization email can be sent automatically or manually to SSO users.

Automated—The Automated Authorization option, which is disabled by default, can be enabled in the Trial Configurations section on the Configuration settings page at both the sponsor and study level to allow approved and trained site and sponsor users to be automatically authorized and to receive automated authorization emails.

  • After an SSO user is trained and approved, the user will be automatically authorized to Oracle InForm.
  • The Authorization email will be sent automatically after the user is both successfully authorized in Oracle Life Sciences IAMS and created/reinstated in Oracle InForm.

However:

  • Previously approved and trained users must be manually authorized, and their authorization emails must be manually sent.
  • Previously authorized users who have not received their authorization emails must have their emails manually sent.

Manual—To manually send the study URL details to an SSO study user, you send an authorization email from the Oracle InForm User Management Tool user interface.

On the Users page, select the checkbox to the left of the user. Then, in the Manage User drop-down list, select Send Authorization Email, enter a comment, and click Go.

What happens after the authorization email is sent to the SSO study user?

The study user receives one email for the study they are authorized to access from saasadminsupport_ww with the Subject Line Welcome to <Sponsor Customer Name> <Study Name> trial!.

Note:

Although an SSO study user receives their user credentials email(s) only one time (see Single sign-on (SSO) study user accounts), an SSO study user receives a separate email for each study they are given access to because each email contains the study URL.

What information is in the authorization email?

The email contains the user name and study URL link.

Receiving this email confirms that the SSO account and study authorization process is complete. Users can log in to the specified study using their SSO user name and password.
  • If the user is configured to not require challenge security questions, the user has all the information they need in the authorization email to reset their password themselves.

    The email contains their user name and the Study URL link. If they go to the Study URL and choose the Forgot Password link, they will receive an email with a link to reset their password.

  • If the user is configured to require challenge security questions, and the questions were set up previously, the user can reset their own password.
  • If the user is configured to require challenge security questions, and the questions were not set up previously, they cannot reset their own password.

    Instead, to have their password reset they need to contact their Oracle Life Sciences IAMS Customer Delegated Administrator (CDA) or enter a ticket with Oracle Global Support.
