Working with attachments

Depending on your topic workflow configuration, you can attach one or more types of data to topics and actions:

If you can attach an object, a Save to Topic link appears on the page. You can also add attachments when you edit a topic or action. See Adding a document-style attachment.

When you add any type of attachment, the actual data is saved as part of the topic, so changes to or deletions of the original item have no effect on the topic attachment. For example, if you save data mining run results as an attachment to a topic and then delete the run, the run results remain attached to the topic.

Note: If you attach a URL to a topic and that URL is later changed, you must edit the attachment to keep the location up to date.

Viewing Attachments

When you view or edit a specific topic or action, you can view or edit all of its attachments. The Topic Attachments section of the Topic page, or the Action Attachments section of the Topic Action page, provides information about each attachment in a table that might include these standard columns:


Column

Description

ID

Unique identifying number for the attachment.

Created By

Name of the user who saved the attachment.

Created

Date and time when the attachment was saved.

Modified By

Name of the user who last modified the attachment, including adding comments to the attachment.

Modified

Date and time modified the attachment was last modified.

Source

Type of data saved as an attachment: file, URL, note, or a brief description of the object.

Attachment name

Name of the attachment.

If you rest the cursor on an attachment name, help text describing the attachment appears. For tabular data, if only a certain number of rows were saved (as determined by a site option), the number of rows saved and the total number of rows is shown also.

Attachment description

Description of the attachment.

URL address

The URL attached to the topic or action. Applies to URL attachments only.

File name

The name of the file attached to the topic or action. Applies to file attachments only.

Comments

Number of comments that have been added to the attachment. The number is a link that you can click to view or add comments.

The table might also include columns for custom fields added by your organization. For information about viewing, printing, or downloading tables or changing the way data displays in the table, see About tables.

Adding an attachment column to the Topics page

When you click the Topics tab, you can include an Attachment Counts column in the table to show the total count of attachments to each topic and to its actions. Similarly, on the Topic page for a specific topic, you can include a column for Attachments in the Topic Actions section of the Topic page with a count of attachments to each action.

1.         To include an attachment count column on the Topics page, click Columns.

To include an attachment column on the Topic page:

A.        On the Topics page, click row menu (Row menu) for a topic, and then click View.

The Topic page appears.

B.        In the Topic Actions section, click Columns.

The Columns dialog box appears.

2.         Move Attachment Count from the Available Columns list to the Selected Columns list.

3.         Click OK.

Editing and deleting attachments
