Defining Government Sleeping Room Pricing Types and Rates


The administrator can set up sleeping room pricing types and rates that meet government room rate requirements for the government market segment. These mandated rates requirements are regularly published by the U.S. government for each room type.

The prices are date-range specific and are routinely added to the system for any given property. Government pricing can be turned on and off depending on the government rate availability. While the government rate exists in the system at all times, it may or may not be available depending on the hotel's occupancy. When government pricing is not available, regular pricing is used.

A government rate is only given to a group if the pricing is available each day of the particular week for the time the group is at the property. If government pricing is closed for a single day during the room block period, then the entire room block does not qualify for the government rate.

The property administrator must define the available (open) dates, and on which dates special rates for the government segment should not be applied. Government rates can vary by the arrival day of the event. For example, current government rates can be specified for a particular date range, and rates that are applicable for the next three years can also be defined.

Exceptions to sleeping room rates for the government sector usually involve defining rates for dates in the future. For example, in October, the government might release prices that are applicable beginning in January of the following year. The sleeping room rates are defined in advance of that period, and the Open flag is not selected until the period arrives.

When defining open government rate exceptions for a particular day of the week, the administrator can create a Sleeping Room Pricing Type flagged as an exception with the Open flag selected. When an exception is flagged as open, all of the Operational flags are automatically set for defined rates in the Government Sleeping Room Rate list, indicating that the exception is true for all the days of the week. If the administrator only wants the exception to be applied to selected days such as Mondays and Tuesdays, the administrator deselects the operational flags for all other days.

This task is performed as part of Sleeping Room Administration, and is a step in Process of Setting Up Pricing and Property Pricing.

To set up government rates

  1. From the application-level menu, choose Navigate > Site Map > Property Pricing Admin.
  2. In the Properties list, select the property.
  3. In the property record, click the link in the Property Name field.
  4. Click the Government Sleeping Room Pricing Type view tab.
  5. In the list, create records for the sleeping room pricing types.
  6. In each Sleeping Room Pricing Type record, select the Open check box, if the rate is available.
  7. In the Government Sleeping Room Rates list, define the rate for each sleeping room type for each applicable day of the week.

    Select the Operational check box for those days of the week for which the rate applies.
