Managing Event Room Block Information in Quotes

Sales representatives and events managers can manage room blocks in the quotes stage of event planning using the Quote views.

The views, accessed from the Quote screen > Room Blocks view are:

• Room Block Line Items. This subview allows the user to enter various room block items by room type, and then launch availability and pricing checks.
• Negotiation Rates. This subview allows the user to see the average rates by weekend, weekday, and so on. The view also allows the sales user to give special discounts for sleeping rooms when the customer is bringing in a great deal of function space revenue. Discount rates, however, cannot be lower than the negotiation floor rate.

This task is a step in Process of Managing Property-Specific Event Quotes.

To update room block information for a quote

1. Navigate to the Quotes screen > List view.
2. In the Quotes list, query for the quote record.
3. In the Quote record, click the link in the Quote # field.
4. In the Room Blocks form, update the fields as necessary.

To add line items for a room block

1. Navigate to the Quotes screen > List view.
2. In the Quotes list, query for the quote record.
3. In the Quote record, click the link in the Quote # field.
4. From the Room Blocks form, scroll down to the Room Block Line Items list.
5. In the Room Block Line Items list, add a record.
6. Complete the fields and save the record.

Repeat Step 4 through Step 6 to specify additional room block line items.

To view and update room block negotiation rates

1. Navigate to the Quotes screen > List view.
2. In the Quotes list, query for the quote record.
3. In the Quote record, click the link in the Quote # field.
4. From the Room Blocks form, scroll down and click the Negotiation Rates view tab.
5. Click Calculate Rates.
6. Update the Negotiation Rate and Weekend Negotiation Rate fields if necessary.

   NOTE:  The values in the Negotiation Rate and Weekend Negotiation Rate fields are validated. The Negotiation Rate should be greater or equal to the Average Floor. The Weekend Negotiation Rate should be greater than the Weekend Floor.
