Checking In a Reservation

Activate Share Functionality (When the Shares parameter is active, then the Automatic Check In of Shares parameter is available).
Automatically check in share reservations [AUTO_CHECKIN_SHARE_WITH_RESERVATION]
Check in all arriving shares. When a share reservation is checked in, OPERA will automatically check in all other shares whose arrival date is today.
(Available when the Shares parameter is active).

Edit Reservations
The Check-In train guides you through the reservation check-in process. You can access the Check-In train by selecting the Check-In link found at the following locations:
- EZTask Dashboard portlet
- "I Want To..." section on the Reservation screen
- Reservation Search results Actions menu
OPERA captures the length of time taken to check in each reservation. Check In time begins when you enter the Check In train and ends when you complete the check in. The system displays the Average Check In Time on the Housekeeping Heartbeat screen.
Note: The Packages / Items stop and the Privacy and ID stop appear on the Check In train based on your administrative settings. The settings also determine the default stop that appears when you select "I Want To...Check In a Reservation." Select Prerequisites above to view the settings needed for the Check-In train.
Check-In Process
The Check-In Train walks you through a series of steps (or "stops") to check in a reservation. The details for the stops are visible in a quick view on the side, and links such as Go to Previous Screen, Go to Reservation, Go to Profile, and Print Registration Card are listed in the "I want to..." section.
The train streamlines the check-in process by:
- identifying the information or action that is needed.
- identifying any information or action that has already been completed, allowing you to advance without any changes to the next step (for example, if a room number has already been assigned to the reservation there is no need to stop at the Assign Room step).
- allowing you to move to any stop of the train, backward or forward, and exit the train at any time if you don't want to continue with the check-in
You can visit steps out of order; however, you cannot complete the check-in if the previous steps are not satisfied. In that case, a message warns you of missing information:

Check-In Stop 1 -- Review Reservation
The Review Reservation stop provides an overview of the reservation that is being checked in. You can review reservation details, add packages and items to the reservation, and select Actions allowing you to change stay details, view the guest profile, and more.
Use the Enhance stay with Packages and Items link to add packages to the reservation.
- Select the link.
- When the pop-up appears, select Daily View.
- Select New.
- Search for available packages.
Note: Multi room reservations are separated upon selection of the check in action.
Check-In Stop 2 -- Packages/Items
The Packages/Items stop provides a view of any packages attached to the reservation.
- Select New to search for and add packages/items to the reservation.
- Select Search to find available packages.
- Enter a search criteria to narrow your search, if desired.
- Select a package and save.
Check-In Stop 3 -- Privacy and ID
The Privacy and ID stop provides view, add, and edit functions for guest identification. Identification details include passport, driver’s license, nationality, birth place, and similar information.
- Select New to add identification information.
- Complete the fields as needed. Options include ID Type, ID Number, Issued Country, Nationality, Birth Date, and others.
Check-In Stop 4 -- Assign Room
The Assign Room stop lets you search for and select a room or change a room on the reservation during check-in. If a room that you want to assign is not yet ready for check in, the Assign Room stop gives you the option of placing the reservation in queue until the room is available.
Use the Assign Room stop to:
- Search for rooms based on Room Types.
- Narrow your search by selecting room conditions (i.e., Inspected, Clean, Dirty, Out of Service, Room Class, Floor, etc.) or by checking the Include Due Out Rooms checkbox.
- View a room's floor plan, photo, or other details about the room if the room number is linked.
- Change your room selection if a message alerts you that the room is dirty or occupied.
Note: Select Show More to refine your search by specifying Room Class, Floor, Features, Smoking, Connecting rooms, or Room Conditions.
Check-In Stop 5 -- Complete Check-In
The Complete Check-In stop lets you complete the payment method (cash, credit card, direct bill, etc.) and details (card number, expiration date, etc.).
- Credit card transactions require a card swipe (even if the payment is manually entered).
- You must define the payment method and assign a room in order to complete the check-in.
